The Operations Manager at Raven will proactively provide operations and administrative support to several small startup companies coming out of our incubator. They will provide high level admin support to the CEO and small team and will also be responsible for maintaining basic new company infrastructure such as IT support, office management and contract management workflows. They will be a vital facilitator across all arms of the company and will be essential to developing a positive work environment and culture for all. We are looking for someone that takes pride in the support role and understands the partnership provided to the
CEO and team is essential to the companyYou will fractionally support 2-3 Newcos and may be expected to sit in the Newco space one day a week to integrate with their small team and add to their culture.
RESPONSIBILITIES:
Administrative tasks include:
- Provide administrative support to CEO and senior leadership team. Proactively maintain calendars, includes scheduling external and internal meetings
- Schedule quarterly Board of Directors/ Scientific Advisory Board and and act as liaison with their assistants, arrange travel logistics, dinners.
- Assist with domestic and international travel arrangements and all meeting logistics.
- Complete monthly expense reports
- Establish relationships with key external contacts and coordinate investor, BD meetings and advisors.
- Prioritizing and juggling day to day tasks across all functions.
Operations Support (may include but not limited to)
Contract Management
- Develop and maintain internal contracting process, including drafting contract templates, follow-up on progress, getting approvals and tracking and filing system
- Work in close collaboration with cross-functional teams and external vendors on contract renewals and terminations.
- Ensure fully executed contracts are properly entered into the contracts management system and update information, as required.
Human Resources
- Ensure employee personnel files are kept up to date and within compliance. Manage highly sensitive and confidential information with discretion.
- Process all onboarding related paperwork, and support new employee orientation.
- Support positive/collaborative employee culture, arrange team building and social initiatives. Work closely with HR Consultant to assist with distributing HR policies, Guidelines and processes Demonstrate Core Values and develop plan to incorporate into company events
IT Operations
- Manage IT consultants and set up and maintain file structure and permissions for company (internal and external)
- Work closely with IT service provider to review IT service needs and security
- Point person in-house for software agreements
- Point person for new hire requests and onboarding
Office Management
- Responsible for the general upkeep of the office space and make sure that all equipment and systems are running.
- Point person and/or develop a plan for all incoming and outgoing mail and packages. Assess office and lab space needs for team and make sure adequate space is available for
team now and as we grow - Partner with CEO to establish relationships with realtors to find space for growth.
QUALIFICATIONS AND EXPERIENCE:
- 10+ years of experience senior management Bachelor’s degree preferred. Prior experience in a startup biotechnology company
- Excellent oral and written communication skills
- Strong organizational skills with demonstrated ability to prioritize and work independently.
- Must be able to handle confidential information and issues effectively.
- Demonstrated proficiency on Microsoft office applications (Outlook, Word, Excel, PowerPoint)
The base salary range reflects our good faith estimate at the time of posting. Final compensation will depend on factors like experience, skills, and location. The role may also be eligible for an annual bonus and long-term incentives. Compensation and benefits may be updated in the future.
Salary base range
$130,000 - $160,000 USD
