Administrative Assistant

Position Summary: 

RCX Sports is experiencing an explosive phase of growth, expanding its impact on youth sports across the country and into new international markets. Through a platform-driven approach, we empower a growing network of League Operators to deliver safe, organized, and—most importantly—fun recreational league experiences across NFL FLAG, MLS GO, Jr. NBA Leagues, NHL Street, and emerging pilot programs. Our evolving platform model is designed to provide League Operators with the resources, training, technology, and support they need to enhance and expand the youth sports experience at scale.  

As the Administrative Assistant, you will be support the office operations at the RCX Sports Headquarters in Michigan. You will manage the front desk, act as the main point of contact for all guests, vendors, service providers, and staff members visiting the office. You’ll oversee the office and ensure a clean, safe, and secure environment for everyone. In this role you’ll regularly work collaboratively with the RCX Sports Executive Team, People Operations Team, Information Technology, and teammates from all departments within RCX Sports. The ideal candidate for this role will bring a genuine passion for our mission, embody our core values, and provide dedicated on-site support to all guests at the RCX Sports office.  

 

Job Responsibilities: 

Office Support: 

  • Manage the front desk and be at the office during working hours to greet visitors, answer phone calls, emails, regular mail, and other correspondence in a professional and courteous manner 
  • Act as the main point of contact for the building landlord, utility companies, and other vendors necessary to maintain an efficient, clean, and safe working environment 
  • Coordinate with outside vendors, service providers, and contracted staff to ensure the office is clean, safe, and secure at all times, and address any issues that arise in a timely fashion 
  • Monitor office access and ensure all security protocols are followed by staff and guests 
  • Oversee the inventory and restocking of office supplies, including ordering new stationery, furniture, appliances, and electronics as needed 
  • Work with RCX Sports Executive team and Human Resources to implement and maintain in-office policies, including developing schedules for local RCX Sports staff 
  • Assist Finance, IT, Human Resources, and other support teams with in-office tasks such as routing incoming mail, coordinating deliveries, assisting with basic financial transactions, and connecting teammates with necessary resources 

Executive Team Administrative Assistance: 

  • Ensure all incoming messages for executive staff and RCX Sports leaders are routed to the appropriate individuals promptly 
  • Assist with scheduling meetings and managing calendars for the executive team 
  • Book and coordinate travel accommodations for the executive team, staff, and external stakeholders 
  • Oversee the signing/execution of important documents, including the ability to notarize documents 
  • Prepare for meetings and staff gatherings by printing documents, coordinating catering, facilitating travel arrangements, adjusting office space, and handling other related responsibilities 

Culture Committee & Chief-of-Staff Support: 

  • Support the culture committee and company-wide initiatives within the RCX Sports office, including staff events, virtual meetings, gifts, recognition awards, and other employee engagement opportunities
  • Coordinate with Human Resources and IT to help onboard new office hires—preparing welcome boxes, facilitating headshots, setting up workstations, assisting with relocation, and providing technology resources 

 

Education & Experience: 

  • High school diploma or equivalent; bachelor's degree preferred  
  • Prior experience in office management, administrative, or executive assistance (preferred) 
  • Current Notary Public in Michigan (preferred) or willing to become one  
  • Excellent communication and interpersonal skills. Must be able to communicate effectively with individuals at all levels of the organization.  
  • Strong organizational and time management skills. Must be able to manage multiple tasks and priorities effectively.  
  • Ability to work independently and as part of a team. Must be able to work collaboratively with others to achieve common goals.  
  • Proficiency in Microsoft Office and other office software. Must be familiar with standard office software and able to adapt to new software as needed.  
  • Ability to handle confidential information with discretion. Must be able to maintain confidentiality and protect sensitive information.  
  • Knowledge of safety and security procedures. Must be familiar with safety and security protocols and able to implement them effectively.  

 

Additional Position Details: 

  • Travel: Less than 10% of the time 
  • Work Schedule: M-F, 8:30am – 5:00pm EST 
  • Work Location: Sylvan Lake, Michigan 
  • Compensation Structure: Full-time Salary, OT Exempt, expected starting salary range $42,000/year - $45,000/year, eligible for annual discretionary bonus based on personal and company performance Reports to: Chief of Staff 
  • Supervisory Responsibilities: None
