Responsibilities
- Work with business leaders and group leads to understand the client engagements, SOW’s, and funding that drive resource needs
- Liaise with various producers, project managers, department heads etc to understand and manage/optimise team resource needs
- Make recommendations based on understanding of group member skill sets across creative and technology departments
- Work with our EMEA office heads to design and roll out a scheduling system that works effectively across all EMEA offices.
- Ensure that our client work is resourced with the best teams, combining experience with technical knowledge and local expertise.
- Partner with our leaders to deliver resourcing and strategic requirements.
- Ensure that our employees are appropriately matched to clients and projects which are challenging and developmental.
- Deliver optimal utilisation and revenues ensuring consideration of commercial aspects of deployment decisions.
- Identify and negotiate the release of suitable employees to cope with the needs of new engagements or where timings on existing cases change.
- Proactively prepare for and lead weekly resource management meetings to ensure critical scheduling decisions can be addressed quickly.
- Provide up-to-date information, analysis and advice on availability, engagement needs, forecast utilisation, forecast revenue, headcount and pipeline to management on a weekly basis.
- Partner with Recruitment to identify when internal resources are not available and prioritize open positions
- Monitor group and office bandwidth to maximize utilization and billability across team resources
- Partner with HR to escalate any information related to retention/employee relations and contribute input to employee performance reviews
- Collaborate with Client Leaders, HR, Recruitment & leadership teams.
Required Skills & Experience
- Ability to work with a high degree of self-direction and flexibility, especially with respect to taking initiative, prioritising multiple tasks, and using good judgment to resolve problems.
- Ability to work with and effectively manage key stakeholders by using an adaptable and flexible approach.
- Strong interpersonal and communication skills (both written and oral), and the ability to work effectively with a wide range of internal stakeholders.
- Ability to provide accurate and efficient service under the pressure of constant deadlines.
- Skilled in organising tasks and establishing priorities.
- Ability to gather data, consistently track metrics, and prepare reports.
- Ability to work with confidential materials and maintain complete discretion at all times.
- Thorough attention to detail.
- Experience in traffic or operations in the creative industry
- Strong capacity planning, recruitment, and project team assessment skills
- Is a quick and creative problem solver who works well under pressure
- Is commercially savvy and has budgeting and production experience
- Understands the disciplines within a creative agency
Required Skills & Experience
- Strong experience within a scheduling or resourcing role, preferably in a professional services environment.
- Demonstrated effectiveness in supporting multiple business leaders, working across varied practice areas.
- Experience with resourcing systems.
- Demonstrated experience with Microsoft Office with a focus on Word and Excel applications
- Advanced Excel

Working with Real HART: Since the pandemic, we have adapted to how our people told us they want to work. We have office locations in cities in the US, UK, and Europe with many employees and clients that serve as hubs where and when they need us. For employees who are within an hour of one of our offices, we expect attendance in the office two days per week, either at a Real Chemistry office or onsite with clients. We are also actively opening new office locations, so if one opens near you, our Real HART policy will apply. We are not looking for attendance for the sake of attendance but believe that the opportunity to coordinate in-office team meetings, 1:1 meetings with managers, taking advantage of on-site learning, and connecting with client partners is a critical to delivering on our purpose of making healthcare what it should be. Outside of these offices, we have regions, where people work remotely but come together quarterly for collaboration, culture and learning opportunities.
