Position Overview:
Administrative Office Assistant, Administration will be responsible for several key daily initiatives that enable the office to run most efficiently. These critical tasks range from being a presence at the front desk to greet and direct office guests and clients, to managing the booking and availability of conference rooms, to ensuring the office is tidy and supplies are stocked. This role will also be cross trained in several key departments and will be called upon to assist managers within operational departments as needed. As the administrative office assistant, this role provides the candidate to be the face of the company upon client arrival, as well as own the duties of ensuring the condition of the corporate office space allows teams to work at their most optimal efficiency.
The ideal candidate should be task oriented, organized and able to manage several responsibilities simultaneously. While daily functions will be well defined and documented for this role, the ideal candidate should possess the ability to be flexible to take on the needs of an ever-changing business. Additionally, the candidate should be a quick learner and be able to own tasks, projects, and results. Lastly, the ideal candidate should be a strong communicator, both written and oral, as the position will entail a significant amount of internal and external correspondence through multiple communication channels.

Primary job duties:
- Front Desk/Reception Presence
- Office Deliveries and Mail distribution daily
- Conference Room scheduling, booking, cleaning, and supply stocking (including coffee stations)
- Coordinate with Sr. Director/Operations on meetings and office visits.
- Kitchen appliance upkeep – dishwasher run and emptied daily, sinks emptied and cleaned, microwave cleaned, surfaces wiped down and disinfected
- Office supplies – Ensuring the office supplies in kitchen and supply room are in stock and replenished when running low
- Office space cleanliness
- Onboarding and Offboarding Desk setups
- Backup to Admin teams as required
Minimum qualifications:
- 3+ years of general administrative experience.
- Customer service or office management experience preferred.
- Exceptional communication skills, both written and verbal.
- Strong organizational and administrative skills.
- Attention to detail and the ability to work independently a must
- Ability to multitask and work cross-organizationally with varied stakeholders
- Must thrive in a fast paced, dynamic, demanding and fluid environment.
- Basic Excel, Power Point and business intelligence skills.

$45,000 - $50,000 USD
