Position Overview

We are seeking a highly organized, detail-oriented and proactive Legal Assistant to join the Legal Department at Rectangle Health, a privately held corporation in White Plains, New York. This is a full-time, on-site position will support the Company's legal, regulatory, corporate governance, compliance, and contracting activities.

  • The Legal Assistant will provide administrative and substantive support to the Legal Department and will work with confidential and commercially sensitive information. The successful candidate will have a successful track record handling confidential and sensitive information with appropriate discretion, a high attention to detail, be proactive, be able to manage short timelines sometimes, manage multiple priorities, and interact professionally with employees at all levels of the organization as well as outside counsel and other third parties.

This position is well suited for an individual who takes pride in confidentiality, accuracy, responsiveness, and organization.

Key Responsibilities

Legal Department Support

  • Provide day-to-day support to the Legal Department.
  • Prepare, format, proofread and revise letters, agreements, memoranda, presentations and other legal and business documents.
  • Coordinate execution and distribution of contracts and other legal documents, including electronic signatures.
  • Maintain organized electronic legal files and records and ensure that final executed agreements are appropriately stored.
  • Maintain Legal Department calendars, deadlines and other important dates.
  • Schedule meetings and coordinate with internal business teams, outside counsel and other third parties.

Contracts and Corporate Records

  • Assist with the administration and organization of customer, vendor and other commercial agreements.
  • Track agreements through review, approval, signature and final storage.
  • Maintain contract records and assist with tracking expiration, renewal and notice dates.
  • Assist with preparation and maintenance of corporate records, organizational documents and other governance materials.
  • Coordinate signatures, notarizations, certifications and document requests as necessary.

Corporate Governance and Compliance

  • Assist with the preparation and organization of materials for Board and committee meetings.
  • Maintain corporate governance files, including Board materials.
  • Assist the Legal Department with compliance projects, internal policies and recordkeeping.
  • Help coordinate responses to requests for corporate and legal documentation.
  • Support periodic Legal Department projects, audits and information requests.

General Administrative Responsibilities

  • Maintain an organized and efficient filing and document-management system.
  • Coordinate meetings, conference calls and departmental activities.
  • Assist with preparation of reports, spreadsheets and presentations.
  • Communicate professionally with employees, executives, outside counsel, vendors and other external parties.
  • Identify opportunities to improve Legal Department administrative processes and organization.
  • Perform other duties and special projects as assigned.

Qualifications

Required

  • Minimum of 5 years of legal assistant, paralegal or comparable professional legal experience.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage multiple assignments and deadlines simultaneously.
  • Strong proofreading, document formatting and file-management skills.
  • Proficiency in Microsoft Word, Outlook, Excel and PowerPoint.
  • Ability to exercise sound judgment and maintain strict confidentiality.
  • Professional demeanor and ability to communicate effectively with senior executives and other employees.
  • Ability to work independently while functioning effectively as part of a collaborative Legal Department.
  • Ability to work on-site in White Plains, New York, five days per week.

Preferred

  • Prior experience working in an in-house corporate legal department.

 

Compensation & Benefit Profile: 

  • $70,000 - 75,000 annual total compensation (commensurate with experience)
