Recursion's Clinical Development team is seeking a highly organized and detail-oriented Clinical Outsourcing Specialist to join our team. This role will be primarily responsible for managing purchase order (PO) requests, approvals, and invoice tracking for Clinical Operations, Development Sciences, and Biometrics. The scope of responsibilities may expand to support all Clinical Development functional areas as the needs of the organization grow. In addition, the Clinical Outsourcing Specialist will assist the Sr Clinical Trial Assistant (CTA) with study dashboards and tracker updates.
The ideal candidate must be adaptable, communicative, and willing to take on additional tasks to support the team’s success, even if those tasks extend beyond the initial responsibilities.
Please note: This position is a contract opportunity for 1 year. There may be an option to extend beyond that timeframe based on performance and business needs.
In this role, you will:
- Purchase Order and Invoice Financial Management:
- Initiate and manage purchase requests and purchase orders (PCTs), coordinating approvals in SharePoint, Coupa and other financial systems.
- Track and monitor PCT spend to prevent budget shortfalls. Assist with accruals and budget forecasting.
- Track and approve invoices – clinical operations, biometrics, medical, & development sciences
- Address vendor queries and resolve invoicing issues in coordination with accounting and clinical teams.
- Assist in sustaining and improving business relationships with current vendors to support project and organizational objectives.
- Procure-to-Pay (P2P) Process
- Lead and manage the P2P lifecycle for Clinical Development, from new vendor requests, contract review, initiating purchase requisitions and purchase orders (POs) to ensuring accurate invoicing and timely payments.
- Maintain a comprehensive understanding of P2P processes, serving as the go-to expert for troubleshooting, training, and continuous improvement in the P2P system.
- Experience with Coupa, Jaggaer and other P2P systems strongly preferred.
- Process Improvement and Support
- Support teams with policy and procedural updates, ensuring clarity and compliance with new systems and workflows.
- Support general administrative tasks, including vendor accrual submissions, invoice routing, and resolving discrepancies.
The Experience You'll Need:
- P2P process expertise:
- A deep understanding of every stage of the P2P cycle is fundamental. This includes requisitioning, purchase order creation, and invoice tracking.
- Experience with Coupa is not required but huge plus!
- Problem-Solving:
- Strong problem-solving skills are needed to identify potential issues and devise practical, swift solutions (e.g. invoice discrepancies, payment delays, etc.
- Attention to Detail:
- Given the high volume of transactions and documentation, meticulous attention to detail is a non-negotiable skill to prevent errors.
- Communication and Collaboration:
- Strong interpersonal skills to work effectively with internal stakeholders (e.g., clinical operations, legal, and accounting teams) and external vendors.
