Redapt is looking for an experienced Administrative Assistant to provide administrative support to the Leadership team. The ideal candidate is collaborative and upholds the highest level of integrity and business professionalism; you will deal with highly sensitive data with absolute confidentiality, problem-solve and react with appropriate urgency to situations that require a quick response and track them to resolution.
Responsibilities
- Support Leadership team’s administrative needs including, but not limited to calendar management, email support, and expense management
- Drive internal and external Leadership team meeting logistics and material preparation, including, but not limited to, communication plans, presentation content and materials, coordinating schedules, serving as primary point of contact for guests, ensuring facilities readiness, ordering food and beverages, etc.
- Plan and organize company meetings, executive offsites, and other all-company events
- Proactively manage follow up communication for both internal meetings and external customers/partners
- Own and manage DocuSign creation for specific departments
- Assist in legal contract management for CFO
- Provide general office support including front-door reception, ordering supplies, sorting/delivering mail, etc
- Handle sensitive and confidential business information with professionalism, discretion, and integrity
- Perform other administrative support duties and special projects with direction from the Chief of Staff
- Maintain organized electronic and physical filing systems, records, and documentation
- Assist with budget tracking, invoice processing, and purchase order management as needed
- Partner cross-functionally with Finance, HR, Legal, Sales, and Operations to support business initiatives
- Manage special projects and initiatives with minimal supervision
Qualifications
- Bachelors degree
- At least 5+ years demonstrated work experience in a fast-paced administrative assistant capacity
- Strong proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams required
- Experience with DocuSign and Zoom
- Experience with expense management software preferred
- Experience planning and executing internal events
- Must be positive, proactive, detail oriented, and driven to succeed
- Proven reputation for confidentiality, upholding corporate values and helping others succeed
- Excellent interpersonal, collaboration, planning, and time management skills
- Action oriented, self-motivated and driven
- Ability to prioritize own work and resources to complete projects on time as required
- Organizational agility: able to adapt to changing circumstances (direction and strategy) while continuing to have professional and positive interactions
- Effective communication skills, both written and verbal
- Proven capability to solve routine and complex problems proactively and effectively; effectively manage ambiguity
- Proven capability to work successfully in a team environment; build effective working relationships inside and outside of the group; accommodating work styles and perspectives of diverse individuals
The base salary range for this full-time position in the US is $61k - $72k annually + bonuses + benefits. Redapt salary ranges are determined by role, level, and location. The salary range displayed in each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Please note, the base pay offered may vary within the range depending on a wide array of factors including but not limited to work location, job related knowledge/skills, relevant education/training, and level of experience. Please note that the compensation details listed in the US role postings reflect the base salary only, and do not include bonuses or benefits.
