About the Role

The Regional Service Manager is responsible for the oversight and support of the Service Teams and properties within a specific region of RedPeak’s portfolio, accounting for approximately 1,600 apartments. This includes assisting with recruiting and onboarding, team member development and training, and onsite support related to all service operations to include budget development and monitoring. Actively monitor the overall building appearance, conditions and operations of each property throughout the portfolio to include Fire and Life Safety compliance. Additionally, this role will ensure RedPeak SOP’s, inspections, and safety and risk policies are being uniformly adhered to.

Position Details

Schedule: Monday-Friday,  8am-5pm

Pay: $90,000 annual salary, plus bonus potential

Key Responsibilities

Service Team Support 

  • Use data to determine where support is most needed based on workload, staffing shortages, special projects, etc.
  • Provide training and development opportunities as dictated by teams’ needs or individual team members’ needs.
  • Work with facilities team and onsite teams to streamline and create efficiencies of maintenance processes and ensure uniformity and continuity across the portfolio.
  • Fill in as needed during staffing shortages while recruiting efforts are in progress.
  • Provide direct support for complex maintenance related issues as they arise before having the team contact an outside contractor to include major maintenance emergencies.
  • Assist onsite teams with execution of budgeted minor capital projects as needed.

Budgeting and Expense Monitoring

  • Work with Facilities and Operations teams to identify and prioritize building related deferred maintenance and minor capital projects.
  • Work with Facilities and Operations teams to develop annual R&M and Capital budgets.
  • Work with Service Managers to help adhere to annual operating budgets related to Turns, R&M and Cap X.
  • Complete quarterly reviews of YTD budgets vs YTD actual expenses and provide feedback on findings to Service teams, Community managers and Portfolio Managers.
  • Code and process invoices as needed for facilities related expenses, projects, training and portfolio equipment needs, etc.

Recruiting and Onboarding

  • Collaborate with onsite teams with the hiring process as positions become open to include applicant screening and interviewing of potential candidates.
  • Work with Facilities and Operations teams to help refine the onboarding process and conduct onboard training of new-hires as needed.
  • Conduct periodic check-ins with new hires over their first 90 days of employment and provide any support needed to ensure a smooth onboarding process.
  • Ensure all necessary O&M training and certifications are completed within 90 days for all new service team members.

Auditing and Compliance

  • Conduct periodic building audits with a focus on curb appeal, interior building appearance and safety and risk management.
  • Conduct periodic vacant-made-ready unit inspections to ensure consistency and quality standards are being met.
  • Conduct periodic shop audits to include cleanliness, organization and proper inventory standards are being met.
  • Provide audit feedback to Operations and Facilities Teams, along with recommendations for any corrections that are needed.
  • Conduct regular audits of Yardi Maintenance IQ to ensure all work orders, unit turns, and planned maintenance tasks are being completed per policy.
  • Schedule and oversee the completion of all Fire Life Safety inspections, permits and certifications for assigned properties. Review all inspection reports and ensure that deficiencies are corrected.

Qualifications:

  •  5+ years of experience in multifamily property maintenance, facilities management, or related field.
  • Strong knowledge of a wide range of building systems, maintenance technologies and industry standards.
  • Proven ability to lead, coach, and develop maintenance teams and team members.
  • Strong organizational and communication skills and high proficiency with various computer programs and maintenance software such as Microsoft Office, Yardi Voyager, Yardi MIQ.
  • Familiarity with local code requirements and laws as it pertains to multifamily housing.
