YOUR IMPACT

We're looking for a Recruiting Operations Specialist who thrives at the intersection of process, data, and people. You'll own the systems and workflows that power our talent acquisition function — driving efficiency, improving candidate experience, and equipping our recruiting team with the tools and insights they need to hire effectively.

Systems & Data

  • Champion an AI-first approach to recruiting operations — proactively identifying opportunities to leverage AI tools for workflow automation, candidate screening, scheduling, and reporting, and helping the broader TA team build confidence and fluency with emerging technology.
  • Own and optimize Greenhouse as our ATS administrator — maintaining data integrity, enforcing best practices, and evaluating new tools that can meaningfully improve recruiting outcomes.
  • Partner with Talent Acquisition, People Systems, and IT teams to optimize recruiting technology infrastructure and integrations. 
  • Maintain Workday as the source of truth for requisitions in partnership with Finance and People Ops. 

Reporting & Analytics

  • Build and maintain dashboards that give stakeholders real-time visibility into pipeline health, time-to-fill, source effectiveness, and other key hiring metrics. 
  • Partner with Finance on headcount alignment, requisition tracking, and workforce forecasting.
  • Support compliance reporting and audits by maintaining accurate recruiting documentation and records. 

Process & Programs

  • Own Redwood’s Employee Referral Program ensuring a positive experience for referrers and candidates. 
  • Manage Offer Process & Background Check Verifications for NA & EMEA candidates.
  • Audit, document, and continuously improve recruiting workflows end-to-end — from requisition creation through onboarding handoff — ensuring consistency and scalability as the business grows.
  • Develop process documentation and deliver training to Recruiters and Hiring Managers.

Candidate & Interview Experience

  • Identify friction points in the candidate journey, implement improvements that raise engagement and satisfaction at every touchpoint.
  • Coordinate and manage interview scheduling for high priority roles across candidates, recruiters, hiring managers, and interview panels to ensure a seamless hiring process. 

Vendor & Compliance Management

  • Manage relationships with recruitment agencies, job boards, and background check providers — including contract negotiation and SLA oversight. 
  • Ensure recruiting practices remain compliant with data privacy regulations and internal policy.
  • Partner with Procurement to create Purchase Orders and process invoices within Workday. 

YOUR EXPERIENCE

  • 3+ years in Recruiting Operations or a similar HR operations role
  • Hands-on experience with ATS systems; Greenhouse and Workday familiarity a plus
  • Strong analytical skills with the ability to translate data into actionable recommendations
  • Proven project management ability — you can drive multiple workstreams simultaneously without dropping the ball
  • Experience managing external vendors and holding them accountable to performance standards
  • Clear, structured communication — written documentation and stakeholder training come naturally to you
  • A strategic mindset: you don't just execute; you ask whether we're doing the right things in the first place
  • An AI-first orientation — you're curious about and experienced with AI-powered tools, and you default to exploring how automation and intelligent technology can solve problems before reaching for manual solutions. 
  • Bachelor's degree or equivalent experience
