The Role: Facilities Coordinator 

Work Location/ ScheduleOnsite in Vernon HQ

We're looking for a Facilities Coordinator to support our Ref East HQ in Vernon, CA and global facilities. This person will act as the primary point of contact for all team members and guests for day-to-day operations questions in our 200,000+ square-foot facility housing our factory, warehouse, studio and corporate office. This role helps make Ref East a sustainable, safe, clean, comfortable, and effective work environment. It is a great entry-point to learn a lot about Reformation’s operations, build administrative and project management skills, and contribute immediately. 

What You’ll Do:

Facility Operations 

  • Oversee the maintenance and appearance of the facility, ensuring it is in good working order, meets the teams’ needs, and that it meets the company's sustainability standards
  • Serve as the main point of contact for all facilities-related preventative maintenance or ad hoc requests (e.g. security, site access, custodial, building systems), managing vendor relationships and visits as required 
  • Complete regular site walk throughs to ensure spaces are compliant with health and safety best practices. 
  • Implement and keep current facility policies and procedures to maintain a well-organized and efficient workspace (e.g. workstation policies)
  • Review and process invoices / transaction detail to support overall facilities budget management and reporting 

Visitor Experience

  • Maintain attractive and tidy reception area
  • Liaise with security so they can effectively support visitors; Create an inclusive environment by greeting the team, vendors, and other visitors in a personable and genuine way 
  • Ensure our visitor management systems are operating, and help in the case of escalations to notify team members of visitor arrival as needed 

Employee Experience

  • Support onboarding set-up for new hires to ensure they have access to all facility-specific platforms 
  • Manage service providers for kitchens, and ensure our food and beverage programs are well stocked and available at all times 
  • Facilitate event setups  (e.g. All Hands, monthly trainings, etc.)  with cross functional departments such as Tech and People
  • Organize information about the facilities and keep employees informed of any changes
  • Assist with all supply ordering and ensure supplies and any incoming mail are delivered and given to the correct team member in a timely manner

Retail Facilities Support 

  • Cross-train and provide coverage support as needed for our Retail Facilities functions

What You’ll Need:

  • 1+ year relevant administrative experience in a fast-paced, creative environment 
  • Must be able to work on-site Monday-Friday, 8:30 AM - 5 PM in office
  • Positive and supportive, able to work under pressure with a helpful attitude
  • Highly organized, and able to manage multiple projects at once
  • Strong research and problem-solving skills
  • Displays an understanding of and passion for the Reformation brand and sustainability mission.
  • Basic computer skills and proficiency in Google Apps and Microsoft Office Suite (Word, Excel).
  • High standards of customer service

Compensation:

At Reformation, we believe in transparency and equity when it comes to compensation. For this role, the anticipated base hourly range is $22-$28, depending on a variety of factors, including but not limited to relevant experience, skills, qualifications, and internal compensation equity.

This role may also be eligible for an annual discretionary bonus based on a range of factors, including company performance, department goals, and individual contributions. Bonus amounts and eligibility are not guaranteed and are determined at the company’s discretion.

Please note that compensation decisions are made thoughtfully and may vary from the listed range to reflect individual circumstances and evolving business needs. Our total rewards package also includes benefits, perks, and opportunities for growth that contribute to overall compensation.
