Work Location/Schedule:
Temp Contract - Leave Coverage, Onsite (Los Angeles, CA)
Target start 8/31, 18 week assignment with expected end date of 12/31
Monday - Friday 8:30 AM - 5 PM
About the Role:
The Corporate Facilities Associate is responsible for the day-to-day operations of Reformation's corporate spaces (Ref East, Ref West, and Ref NYC). This role ensures our workplaces remain safe, compliant, sustainable, and provide an exceptional employee experience. This is an excellent opportunity for someone looking to grow their facilities management experience by taking ownership of multiple corporate locations and contributing to a fast-paced, high-growth environment.
What You'll Do:
Corporate Facilities Operations
- Manage the day-to-day operations of multiple corporate office locations.
- Ensure all facilities operate safely, efficiently, and in compliance with applicable building codes and company standards.
- Conduct routine facility inspections and proactively identify maintenance or operational issues.
- Manage preventive maintenance programs for all building systems.
- Coordinate repairs, maintenance, and vendor activities through Service Channel and approved service providers.
- Maintain workplace standards, operating procedures, and facilities documentation.
Vendor & Contractor Management
- Manage relationships with janitorial, HVAC, electrical, plumbing, security, fire-life-safety, and other facilities vendors.
- Coordinate vendor scheduling, site access, and project execution.
- Review vendor performance and ensure work is completed to company standards.
- Assist with contract management, proposal review, and invoice reconciliation.
Employee Experience
- Help create a safe, welcoming, and productive workplace environment.
- Coordinate workstation setups, seating plans, and workplace changes.
- Support employee onboarding by coordinating building access, parking, and workplace orientation.
- Oversee kitchen, pantry, office supply, and workplace amenity programs.
- Manage Zendesk ticketing system.
- Coordinate meeting setups, company events, All Hands meetings, and workplace initiatives.
Budget & Financial Management
- Track operating expenses against budget.
- Maintain accurate vendor records and purchase documentation.
- Code and manage department credit cards.
Health, Safety & Compliance
- Conduct routine workplace safety inspections.
- Ensure compliance with OSHA requirements and internal safety standards.
- Maintain documentation for inspections, permits, and regulatory requirements.
What You'll Need:
- Facilities management or workplace operations experience a plus!
- Experience managing multiple vendors and service providers.
- Strong project coordination skills.
- Experience supporting corporate office environments.
- Knowledge of building systems including: HVAC, security systems
- Strong organizational and communication skills.
- Ability to prioritize multiple projects simultaneously.
- Proficiency with Google Workspace and Microsoft Office.
Compensation:
At Reformation, we believe in transparency and equity when it comes to compensation. For this role, the anticipated hourly range is $26-$30, depending on a variety of factors, including but not limited to relevant experience, skills, qualifications, and internal compensation equity.
Please note that compensation decisions are made thoughtfully and may vary from the listed range to reflect individual circumstances and evolving business needs. Our total rewards package also includes benefits, perks, and opportunities for growth that contribute to overall compensation.
