WHAT WE ARE LOOKING FOR
As a People Operations Specialist, you will play a critical role in supporting the day-to-day operations of our global People function. Working closely with the Senior Regional People Operations Partner, you will help deliver a seamless employee experience by ensuring the efficient execution of employee lifecycle processes, maintaining the accuracy and integrity of people data across multiple systems, and serving as a trusted point of contact for employees across the business.
This role supports a fast-growing, global organisation and requires the ability to effectively manage a high volume of tasks, requests, and stakeholder interactions across multiple time zones. While established processes and procedures are in place, priorities can evolve in line with business needs, requiring adaptability, strong judgement, and the ability to balance competing demands in a dynamic environment.
WHAT YOU WILL DO
Employee Lifecycle Administration
• Coordinate and administer onboarding activities for new hires globally.
• Prepare employment documentation, including employment agreements, onboarding paperwork, and employee records.
• Ensure all employee information is accurately entered and maintained across HR platforms and systems.
• Manage employee offboarding processes, ensuring all documentation, approvals, and system updates are completed in a timely manner.
• Maintain accurate, organised, and confidential employee files and records.
HR Systems & Operations
• Act as a key administrator across HR systems, ensuring data integrity and process efficiency.
• Provide first-line support for employees experiencing HRIS, benefits, or platform access issues.
• Manage system access requests and coordinate with internal stakeholders to ensure a seamless employee experience.
• Produce and maintain People Operations reports, trackers, and documentation as required.
• Support ongoing process improvement initiatives and help identify opportunities to automate and streamline workflows.
Learning & Development
• Coordinate internal training programmes, compliance training, and professional development initiatives.
• Schedule and track participation in online and instructor-led training sessions.
• Maintain training records and reporting.
• Support the administration of learning resources and training materials.
Employee Experience & Engagement
• Support the planning and execution of employee engagement initiatives, team events, and company-wide programmes.
• Assist with internal communications and employee announcements.
• Partner with Marketing and Design teams to produce engaging, high-quality internal communications.
• Help foster a positive and connected employee experience across a globally distributed workforce.
General People Team Support
• Assist with HR projects, audits, policy updates, and departmental initiatives.
• Maintain and update employee handbooks, policies, procedures, and People Operations documentation.
• Act as a liaison between the People team and other business functions to ensure effective communication and coordination.
• Provide flexible support across the wider People function as business needs evolve.
WHAT YOU BRING TO THE TABLE
Required Experience
• Bachelor's degree in Human Resources, Business Administration, or a related field.
• 3–5 years' experience in HR Administration, People Operations, Human Resources, or a similar role.
• Experience supporting a fast-paced, high-growth, or multinational organisation.
• Strong experience managing high-volume scheduling and coordination activities.
• Experience working with HRIS platforms and people systems.
• Highly adaptable and comfortable working in a dynamic, evolving environment.
• Strong sense of ownership, accountability, and urgency.
Skills & Competencies
• Strong ability to build effective working relationships and manage requests from multiple stakeholders while maintaining professionalism and responsiveness.
• Excellent organisational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
• High level of accuracy and attention to detail when handling administrative and operational tasks.
• Proactive and collaborative approach, with a willingness to take ownership and drive tasks through to completion.

Preferred Qualifications
• Experience supporting a global workforce across multiple jurisdictions.
• Experience with Paylocity or similar HRIS platforms.
• Familiarity with MS Office, Monday.com, Paylocity, Greenhouse, or comparable tools.
• Experience working within remote-first or distributed organisations.
• MacOS proficiency.
• Previous experience in insurance, financial services, technology, or other professional services environments.

WORKING ARRANGEMENT
This is a fully remote position based in the Philippines, working Eastern Time Zone hours (night shift). Occasional travel to Metro Manila for team meetings, training sessions, or company events may be required (typically monthly or quarterly).
