About the role:
The Accounts Payable Associate, reporting to the Controller, will provide administrative support to the Finance Department and will be responsible for managing accounts payable processes for the organization. The position will be responsible for processing accounts payable, facilitating contract signing, oversee monthly credit card expenses reconciliation and provide administrative support to the Finance staff when required. The ideal candidate will be a highly organized individual with a university degree (BA/BS) in Accounting and Finance, or equivalent work experience, and a minimum three years’ experience working for a non-profit organization. This position will bring strong administrative skills and pay meticulous attention to detail to facilitate efficient and smooth operations within the Finance department.

Salary: $55,000 - $68,000
Responsibilities:
Accounts Payable
- Provide necessary help to the controller to oversee accounts payable processes including setting up new vendors in the accounting system and preparing payments on a weekly basis;
- Ensure vendor invoices and expense reports are properly coded and approved as per established policies and procedures;
- Ensure that all vendors’ required documentation (Form W9, ACH Form for new vendors), invoices, and contracts/MOU/agreements are reviewed and processed before payments are scheduled;
- Communicate with stakeholders and vendors to resolve issues while processing invoices and payments;
- Oversee monthly corporate credit card expense report’s submission and approval to ensure timely processing of expenses before the monthly close;
- Complete the monthly AP and VISA GL accounts reconciliations.
Contract Administration
- Manage contract approval process using PandaDoc or similar document signing tool, including creation and management of approval flow, collaboration, version control, signatures, approval tracking and distribution of fully executed contracts to all parties;
- Manage the vendors’ fully executed agreements folder in the Finance shared drive;
- Provide training to employees in the contracting process, develop user guidelines, and draft templates.
Administrative Support
- Complete administrative tasks, such as organizing workspace, filing, storage, Finance mail distribution and printing;
- Maintain accounting records in an organized and readily available fashion for examination during the annual audit;
- Provide day-to-day administrative support to the finance team and help CFO on projects, as needed;
- Review and assist the Controller in managing financial controls in a constantly changing operating environment;
- Other duties consistent with the duties and qualifications outlined herein may be assigned.
Qualifications:
- A university degree (BA/BS) in Accounting, Finance or Business Administration;
- Three plus years of experience in Accounting, Finance, or Business Administration;
- A working knowledge of relevant accounting (AP/AR) and ERP systems (Microsoft SL/GP/Business Central);
- Proficient knowledge of Google Workspace and Microsoft Office 365 (Excel/Word);
- Ability to carry out assigned tasks and responsibilities independently;
- Ability to effectively work in a fast paced dynamic environment, manage multiple priorities simultaneously, and consistently meet deadlines;
