WHY WE'RE LOOKING FOR YOU
Retool is growing rapidly and entering a new stage of maturity. To support this growth and help Retool’s leadership team scale to the next level, we are looking for an experienced Executive Assistant who can support our EPD leadership team. Our teams are working to bring good software to everyone, and our leaders need support to tackle everything between admin tasks, travel support, offsite and events planning, and other strategic initiative support. This person will leverage their highly-developed interpersonal skills, exceptional organization, and solution-oriented approach to support the work of some of our busiest execs (who also happen to lead the largest orgs at Retool) . Given the nature of the work, this position demands a high level of discretion, confidentiality, and the ability to manage sensitive external communications with care.
This role will enable our leaders and our teams to deliver more value to our customers, build a better product, and get it out into the world, as we continue out trajectory to becoming a generational company. You’ll be in the thick of it with us and will be a key partner in clearing the path so we can bring Retool to everyone.
WHAT YOU'LL DO:
- Manage all day-to-day administrative support for the Head of Engineering, Head of Design and other execs including a broad variety of administrative tasks.
- Provide calendar, scheduling, travel, and communication support both internally and externally.
- Serve as the main point of contact to prioritize inquiries and requests, troubleshoot conflicts, and offer recommendations to ensure smooth day-to-day operations.
- Work closely with execs to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Conserve execs’ time by reading, researching, collecting, and analyzing information as needed, in advance.
- Coordinate Staff team meetings and retreats and assist with staff meetings and events as needed.
- Help draft communications on behalf of leaders including presentations, emails, Slacks, etc.
- Manage other C-level executive calendars and set up meetings for executives as requested.
- Develop strategies for and execute on special projects
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
THE SKILLSET YOU'LL BRING:
- Previous 5+ years of consecutive Executive Assistant experience, preferably C-suite, at a quickly-scaling company.
- Previous experience as a calendar czar and can keep calm through the challenges of dynamic schedules (and reschedules).
- Detail orientation and strong organization skills.
- Knack for working across various roles and teams in a fast-paced, changing environment.
- A can-do "make it happen" attitude - you are comfortable making decisions with little supervision or direction.
- Ability to anticipate and respond to the needs of others before they arise.
- Outstanding, polished oral and written communication.
- Experience handling sensitive information and situations with care and confidence.
For candidates based in San Francisco, the pay range(s) for this role is listed below and represents base salary range for non-commissionable roles or on-target earnings (OTE) for commissionable roles. This salary range may be inclusive of several career levels at Retool and will be narrowed during the interview process based on a number of factors such as (but not limited to), scope and responsibilities, the candidate’s experience and qualifications, and location.
Additional compensation in the form(s) of equity, and/or commission/bonuses are dependent on the position offered. Retool provides a comprehensive benefit plan, including medical, dental, vision, and 401(k). Pay and benefits are subject to change at any time, consistent with the terms of any applicable compensation or benefit plans.
