Transition Coordinator

Location: 77098
Pay Range: $55,000-$65,000
Employment Status: Full-time

 

Position Overview

We are looking for an eager, detail-oriented, and proactive Transition Coordinator to join our growing team at RISE. This role is essential in ensuring a seamless transition for condominium and townhome unit owners by managing the preparation, accuracy, and timely delivery of all closing-related documents. You will serve as the central point of contact between buyers, sellers, title companies, attorneys, and internal teams, ensuring every transition is handled with care and efficiency.

Key Responsibilities

  • Document Preparation & Review
    • Prepare and review resale certificates, statements of account, and condo questionnaires to facilitate property closings.
    • Ensure all documentation complies with association governing documents and applicable regulations. 
  • Closing Coordination
    • Collaborate with lenders, attorneys, realtors, and property managers to obtain necessary closing information, including:
      • Special assessments
      • Litigation details
      • Owner occupancy data
    • Track and follow up on outstanding items to prevent closing delays. 
  • Account Management
    • Update and maintain homeowner account records, including ownership transfers due to sales, foreclosures, and other transactions.
    • Communicate with attorneys regarding collections and account discrepancies. 
    • Send welcome packets and ensure new owner information is accurately entered into all systems.
  • Customer Service & Communication
    • Process address change requests, payment plan requests, and resident inquiries (via phone or email).
    • Provide inbound customer service and general administrative support as needed.
  • Compliance & Recordkeeping
    • Perform comptroller status checks and maintain the management certification file. 
    • Ensure intake forms are completed for each new transition.
    • Confirm prior management records are received, reviewed, and securely stored. 
    • Upload governing documents to SharePoint and CINC Webaxis.
    • Populate property information fields in CINC Webaxis to maintain accurate records.
    • Update Secretary of State records as required.

Required Skills and Qualifications

  • Experience:
    • 1–3 years in title, mortgage, or property collections.
    • Knowledge of property conveyances, liens, and homeowner association operations is required.
  • Skills:
    • Proficiency in Microsoft Office (Excel, Word) and data entry. Ability to create and reconcile spreadsheets and balance deposits.
    • Strong organizational skills, attention to detail, and excellent problem-solving abilities. 
    • Ability to work effectively in a fast-paced environment and build strong relationships with clients and team members.  
  • Education: 
    • Bachelor’s degree preferred; high school diploma or equivalent with relevant experience required.

Additional Information

  • Work Schedule:
    • Monday through Friday, 8:00 AM to 5:00 PM, with occasional overtime as needed.
  • Working Conditions:
    • Physical ability to lift up to 20 lbs. and work seated for most of the day.

Compensation and Benefits

  • Salary: $55,000-$65,000
  • Benefits Package:
    • 20 days of PTO annually + 11 paid holidays.
    • Group health insurance (75% employer-paid).
