About the Role

We’re looking for an organized and people-centered Talent (HR) Coordinator who thrives at the intersection of details and human connection. This is a 12-month contract with the potential to extend pending business demands. You’ll be a vital part of the People & Culture team, ensuring our HR systems, processes, and programs run smoothly. From supporting new hires, managing talent data and supporting company events, you’ll help create an environment where every team member feels supported and informed.

You’ll report to the Talent (HR) Manager (mat-leave coverage) and collaborate closely with the Talent team, Finance, IT, and department heads across the organization.

**While this position is hybrid friendly, candidates must be in Calgary to support the in-office needs of the role on a routine basis. Only candidates who are based locally in Calgary or in the process of relocating to Calgary without company assistance will be considered for the position. ** 

What You’ll Do

Talent Operations & Talent Lifecycle

  • Manage talent data across HRIS, payroll, and benefits systems, ensuring accuracy, consistency, and data integrity.
  • Support onboarding and offboarding processes, including documentation, system updates, access setup/termination, and coordination with IT and Finance.
  • Maintain talent files and records (digital and physical) in compliance with data privacy and labor law standards across all regions.
  • Assist with background checks, employment verifications, internal reporting, and responding to audit requests.
  • Provide administrative support for talent changes such as contractor extension paperwork, promotions, transfers, and status updates.
  • Assist in maintaining Talent (HR) policies, procedures, templates, and the talent handbook, ensuring accessibility and version control.
  • Support Talent Engagement Specialist with internal travel needs including logistics and planning, and creating Business Visitor Letters as required.

Culture and Engagement

  • Partner with the Talent Engagement Specialist to execute Talent (HR) programs and initiatives that foster culture, engagement, and performance.
  • Support company-wide programs including performance reviews, recognition, learning and development, and employee surveys.
  • Help coordinate logistics for company-wide meetings, celebrations, new hire interactions, and engagement events, both virtual and in-person.

Data, Reporting & Systems

  • Ensure HRIS, payroll, and benefits systems remain synchronized and accurate, collaborating closely with other Department Heads.
  • Generate standard reports and dashboards related to headcount, turnover, and other Talent (HR) metrics as requested by leadership.
  • Maintain high standards of confidentiality and data protection in all Talent (HR) processes and documentation.
  • Identify opportunities to improve and streamline HR workflows and administrative processes for efficiency.

Facilities & Office Operations - Canada

  • Manage daily office operations in the Calgary Office (and other growing Canadian locations as required – ex. Toronto), including phone / messaging, mail handling, vendor coordination, supply management, and space organization.
  • Liaise with building management and external vendors to address maintenance or service needs.
  • Assist with office safety and equipment coordination in partnership with IT and Finance.
  • Ensure the office environment supports talent well-being, collaboration, and productivity.

What You’ll Bring

  • A degree or diploma in Human Resources, Business Administration, or a related field.
  • 2–4 years of HR experience (ideally in multi-country organization).
  • Hands-on experience with HRIS platforms (we use BambooHR).
  • Strong attention to detail, accuracy, and organization.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with professionalism and discretion.
  • Proven collaboration skills across teams and functions.

Bonus Points For

  • Knowledge of employment standards and HR best practices across multiple provinces or U.S. jurisdictions.
  • Experience using tools such as Slack, SharePoint, and other communication platforms.
  • Experience with workflow builder in slack considered an asset but not required.
  • Familiarity with HR reporting and process improvement initiatives.
  • Experience coordinating company events or culture programs.
