Overview

RTW Investments is seeking an Executive Assistant whose primary responsibilities would be serving as a true gatekeeper to the Partner, President. The candidate must have a positive attitude, be highly organized, and possess strong communication skills. Responsibilities will include scheduling and correspondence, logistics and travel planning, expense tracking, and content organization. The ideal candidate must be a resourceful problem-solver, work both individually and with a team in a fast-paced environment, be able to meet deadlines, and successfully manage multiple priorities with a positive attitude, and keen to assist in improving upon processes in place to make the Partner’s ay more functional, streamlined, and efficient. The candidate will be expected to interact with internal and external counterparties. This role is in the office four days a week with one remote day as dictated by the Partner.

This role is a unique opportunity to become an important part of the team at RTW.

This role is full-time and reports to the Partner, President.


Key Responsibilities

  • Act as a true gatekeeper for the Partner, President, learning the primary relationships and communication preferences to both provide access when necessary while also advocating for the Partner’s time.
  • Full calendar management both business and personal.
  • Manage travel arrangements including flight, hotel, and ground transportation both domestic and international, both private and commercial.
  • Visa procurement when necessary.
  • Process expense reports.
  • Arrange and coordinate a high volume of internal/external meetings and company calls.
  • Prepare, maintain, and organize meeting materials, specifically in PowerPoint and MS Office Suite.
  • Drive action items forward, track progress, and facilitate cross department collaboration.
  • Respond to requests on behalf of the Partner in a timely and professional manner.
  • Assist with business event planning (i.e. townhalls, offsites, and team outings).
  • Collaborate with the full administrative team to ensure smooth operations.
  • Ad hoc projects as requested.
  • The listed responsibilities are not comprehensive, and additional tasks may be assigned as required.

 

Qualifications and Skills

  • 4-year degree.
  • Previous experience supporting C-Suite Executives at a hedge fund, investment bank, private equity fund, or in the healthcare industry considered a plus.
  • Strong Excel and PowerPoint skills.
  • Previous experience with Concur and expense management.
  • Experience booking complicated international travel including visas.
  • Strong communication skills, both written and oral.
  • Highly organized, personable, and intuitive with excellent soft skills.
  • Ability to function at a high level and prioritize in a busy environment.
  • Confidence, poise, and discretion in communication and interactions on behalf of the Partner.
  • Must be able to work from our New York City office 4-5 days per week.

The base salary for this New York-based position ranges from $150,000 to $200,000, depending on experience, skills, and responsibilities. Actual salary may vary based on qualifications and the level at which the role is hired. In addition to the base salary, the role includes a discretionary incentive compensation program, and a comprehensive benefits package, including medical and life insurance, retirement plans, tax-free savings options, and access to additional healthcare programs.
