Role Overview

Join a fast-moving neuropsych biotech start up at an early, high potential stage. We are seeking a reliable and detail-oriented Executive Assistant to support senior leadership with administration and coordination needs in a fully remote environment. You will ensure day-to-day operations run smoothly while anticipating needs, resolving conflicts, and keeping priorities on track. This role is well-suited for a self-starter who is comfortable working virtually, takes pride in keeping things organized, and thrives in a fast-paced environment.

This position is full-time and reports to the COO.

Key Responsibilities

  • Manage complex and dynamic calendars, including scheduling internal and external meetings.
  • Anticipate/resolve conflicts and proactively implement contingency plans.
  • Organize and prepare for meetings including scheduling, agendas, materials distribution and coordinating logistics
  • Support travel coordination and timely/accurate expense report preparation as needed.
  • Regularly partner cross functionally with leadership and staff across organization to ensure support is delivered seamlessly
  • Proactively look for ways to minimize Senior Leaders’ time spent on administrative activities
  • Organize team events, support onboarding activities, and coordinate off-site logistics as needed
  • Prepare and format presentations, agendas and meeting materials as needed
  • Other responsibilities as assigned

Qualifications and Skills

  • Experience: Minimum 3+ years of previous experience as an EA supporting C-level executives
  • Education: Bachelor’s degree required
  • Skills: Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously
  • Tools: Proficiency with Microsoft Office, calendar management and team communication tools (e.g., Microsoft Outlook, Slack)
  • Communication: Strong written and verbal communication skills, with comfort working across a range of stakeholders
  • Attributes: High degree of discretion, sound judgment, and professionalism. Self-starter, adaptable to start up pace, and ability to prioritize in ambiguity.
  • Location and travel: Remote
