Project Coordinator, Development

 

Summary:

The Project Coordinator, Development will provide direct support to the Development and Construction teams, assisting with up to two projects. This role spans all phases of development, including pre-development, design, pre-construction, construction, and closeout.

The Project Coordinator will be responsible for maintaining project budgets, tracking contracts, processing change orders, invoices, and payment applications, and coordinating with project accounting and cost control teams. Additional responsibilities include document control, project reporting, and administrative support for day-to-day operations.

 

Principal Responsibilities

General Responsibilities:

  • Support the Development team in all aspects of project coordination for NYC metro area projects.
  • Collaborate with Asset Management, Accounting, and Construction teams.
  • Manage budgets and cost tracking for consultants, contractors, and vendors, ensuring timely processing of invoices and requisitions.

Budget & Cost Management:

  • Assist in maintaining the Project Development Budget and tracking changes.
  • Utilize project cost management software (e.g., eBuilder) to interface with project accountants for monthly requisitions and to manage budget reporting.
  • Process, track, and follow up on all project invoices.
  • Coordinate closely with project accounting and cost control teams to ensure alignment between cost management systems.
  • Facilitate execution and processing of consultant and vendor contracts, change orders, payment applications, and invoices.

Project Administration & Documentation:

  • Maintain project documentation, including construction documents, design studies, approvals, legal documents, and other key materials.
  • Assist in the preparation and distribution of reports to investors and RXR senior management.
  • Develop and ensure adherence to protocols for document control, invoicing, and project workflows.
  • Record and distribute meeting minutes, track action items, and ensure timely follow-ups.
  • Maintain and administer project tracking documents and filing systems.
  • Support scheduling, logistics, and meeting coordination for the project team.

Construction Coordination:

  • Maintain and organize project files, permits, inspection certificates, and construction records.
  • Assist with bid document preparation, contract administration, and purchase orders.
  • Track contractor and vendor payment applications and invoices.
  • Ensure insurance compliance for consultants, contractors, and vendors.
  • Maintain updated plan files, as-built drawings, submittals, and certificates of occupancy.

Reporting Responsibilities:

  • Assist in preparing and distributing monthly reports to investors and senior management.
  • Create spreadsheets and analyses for project tracking, budgeting, and decision-making.

 

Qualifications

Knowledge & Skills:

  • Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) required.
  • Project Management Software (e.g., Monday.com, eBuilder) preferred.

 

Education & Experience:

  • Bachelor’s degree required.
  • 1-3 years of experience in real estate development, project coordination, project accounting, financial analysis, or construction project management.

The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a team member's base salary/rate, several factors may be considered as applicable (e.g. location, years of service, specialty, education, relevant experience).

Bonus eligible. 

Pay Range

$75,000 - $85,000 USD
