What You Will Do 

As the HR Operations Specialist, you will be the engine behind our people operations, ensuring that our employees are paid accurately, our benefits programs run smoothly, and our company remains in full compliance with labor laws.

The ideal candidate thrives on organization, finds satisfaction in a perfectly reconciled payroll, and can navigate the complexities of leave administration with both empathy and precision. You won't just be "processing paperwork." You will be the person who ensures our employees feel secure, supported, and valued through the most critical touchpoints of their employment lifecycle.


Key Responsibilities

  • Payroll Administration: 
    • Manage full-cycle semi-monthly and monthly payroll, ensuring 100% accuracy in pay, deductions, and tax withholdings.
    • Maintain the HRIS with real-time updates for new hires, terminations, salary adjustments, and banking details.
    • Generate labor cost and tax liability reports for finance and leadership.
    • Serve as the primary lead for the HR and Payroll inquiry inbox.
  • Compliance & Regulatory Oversight: 
    • Ensure all HR practices align with federal, state, and local labor laws (FLSA, EEO, OSHA, etc.).
    • Lead annual compliance filings, including EEO-1 and ACA reporting.
    • Conduct regular internal audits of personnel files and I-9 documentation to maintain "audit-ready" status.
    • Maintain and update SOC-1/SOC-2 reports.
  • Benefits & Open Enrollment: 
    • Serve as the main point of contact for employee inquiries regarding health, dental, vision, and 401(k) plans.
    • Coordinate the annual open enrollment process, including system configuration, communication materials, and vendor management.
    • Perform monthly audits of benefit provider invoices to ensure accurate billing and enrollment data.
  • Leave of Absence (LOA) Administration: 
    • Manage the end-to-end leave process (FMLA, ADA, Short/Long-term Disability, and Parental Leave).
    • Act as the liaison between employees, managers, and insurance carriers to ensure a seamless transition and return-to-work experience.
    • Maintain meticulous records of leave hours used and remaining entitlements.

What You Will Need

  • Experience: 3+ years in HR Operations, Payroll, or Benefits Administration.
  • Technical Skills: Proficiency in HRIS platforms (e.g., Workday, UKG, ADP) and advanced Excel. Tech-savvy with a baseline proficiency in building AI agents and a drive to automate manual workflows.
  • Knowledge: Strong grasp of federal and state labor laws, with a focus on California-specific payroll and tax regulations.
  • Communication: Ability to translate complex pay or benefit issues into simple, empathetic terms.
  • Precision: High attention to detail with an obsession for catching "small things" before they impact employees.
  • Integrity: Absolute discretion and professionalism when handling sensitive, confidential data.

Work Location & Environment

This is a hybrid position requiring approximately three days of in-person collaboration per week. Eligible candidates must be located within commuting distance of one of the following hubs:

  • NYC Hub: Required Tuesday attendance at our Whitestone, Queens HQ, plus two additional days per week at one of our NYC Metro Area Viewing Rooms

Base Salary: $85,000 – $90,000 per year. Final compensation will be determined based on experience, qualifications, and in accordance with applicable state and local laws.
