About the Role

As the first point of contact for visitors and callers, the Administrative Assistant supports smooth front-of-house operations while providing reliable administrative support to Corporate Services and other leaders. The ideal candidate combines warm, professional customer service with strong organization, follow-through, and attention to detail.

Key responsibilities

  • Front desk & visitor experience: Greet guests and uphold a polished, welcoming reception area.
  • Phones & communications: Screen and route calls, emails, and internal messages; respond promptly and professionally on behalf of the team.
  • Mail & deliveries: Receive, sort, and distribute mail/couriers; track packages and coordinate outbound shipments.
  • Document & records support: Draft, format, and proof correspondence; maintain shared files (digital and physical).
  • Travel & expenses (as needed): Prepare/submit expense reports and track reimbursements.
  • Department support: Assist with vendor coordination, supplies ordering, light facilities requests (tickets/work orders) and special projects.
  • Compliance & confidentiality: Handle sensitive information discreetly and follow company policies and security procedures.
  • On-site front desk coverage is required
  • Opportunities to support department projects and take on expanded responsibilities over time.

 

Education and Experience Required

  • High school diploma or equivalent required; associate’s degree or admin certification a plus.
  • 1+ year in an administrative and/or front desk role (professional office environment preferred).

Knowledge, Skills, and Abilities

  • Consistently warm, helpful, and solutions-oriented with internal partners and external guests.
  • Exceptional prioritization, time management, and follow-through; able to manage multiple requests with attention to detail.
  • Clear, professional verbal and written communication; polished phone and in-person presence.
  • Proficient with Microsoft 365 (Outlook, Word, Excel, PowerPoint); comfortable with calendar scheduling tools, video conferencing, and basic databases/CRM.

Starting Base Salary Range: $64,000 to $70,000 Annually (USD)

The starting salary for this position is an estimate, based on potential employee qualifications, operational needs and other considerations permitted by law. Actual salaries will vary and may be above or below the stated range based on various factors including, among other factors, location, education and training, experience, internal pay alignment, and performance. A potential new employee’s salary history will not be used in compensation decisions. Many candidates’ compensation will start in the bottom half of the stated range. This role is also eligible to participate in a merit-based annual bonus program, health, vision, and dental insurance plans, long and short-term disability, 401K plan, and PTO. This information is provided in connection with the Colorado Equal Pay for Equal Work Act, and similar requirements in California and New York. Positions located outside of these states may or may not necessarily receive the same compensation.
