RevOps Systems Specialist

Location: Remote (Global — strong English required, must work EST 9–5) | Full-Time | Revenue Operations

We are looking for a RevOps Systems Specialist to own the technical core of our revenue stack. This is a senior individual contributor role for someone who builds, governs, and scales HubSpot architecture and integrations without needing step-by-step direction.

This role spans all three tiers of RevOps work — from day-to-day HubSpot administration and internal support, to complex workflow automation and data governance, to full system architecture and integration ownership. You will be the person who keeps the CRM running cleanly, fixes what is broken at the root, and builds systems that are still standing two years from now.

If you are the kind of person who reads error logs for fun, builds documentation because you know the next person will need it, and can translate "English intent" into correct technical design — we want to talk.

What You'll Own

Tier 1 — HubSpot Administration and Day-to-Day Support

  • HubSpot Access and Permissions (SOC 2 Critical)
    Create and maintain user roles and a permissions matrix. Provision and deprovision users during onboarding and offboarding. Keep teams, permission sets, and role-based access hygiene current and audit-ready at all times.

  • Internal Support Desk
    Be the first responder for Sales, CS, and Marketing HubSpot questions — visibility issues, missing records, workflow behavior, and "why can't I see X?" requests. Triage correctly and route deeper system problems to your own Tier 2/3 backlog.

  • Reporting and Basic Ops Requests
    Build and maintain basic reports and dashboards. Create and modify lists, views, simple properties, and saved filters. Support pipeline and report requests from stakeholders without requiring hand-holding.

  • Data Hygiene and Cleanup
    Own deduplication for contacts and companies. Handle basic field cleanup — formatting, required fields, obvious gaps. Surface data anomalies for root-cause investigation.

  • Data Integrity Monitoring
    Monitor dashboards and reports for anomalies. Flag issues proactively and move them into investigation before they become downstream problems.

Tier 2 — Workflow Automation, Governance, and System Improvements

  • HubSpot Workflow and Automation Ownership
    Build and maintain workflows for lead routing and assignment logic, lifecycle stage movement, task creation, internal notifications, and SLA enforcement. Replace manual human steps with durable automation. Operate from requirements through to deployment independently.

  • Data Integrity and Governance Execution
    Own property governance — required fields, controlled values, naming conventions. Ensure data is structured so reporting is accurate and scalable. Prevent bad data from entering the system through validation and automation patterns, not patches.

  • Reporting Enablement (System-Level)
    Build scalable reporting inputs: correct fields, lifecycle logic, attribution rules. Support dashboards by ensuring upstream data is correct — not just making reports look right on the surface.

  • Root-Cause Investigation
    Investigate anomalies escalated from Tier 1 — missing attribution, wrong lifecycle stages, duplicate logic, broken workflow behavior. Identify root cause inside HubSpot and implement durable fixes with prevention steps so the same issue does not recur.

  • Operational Improvements
    Improve the reliability and clarity of the CRM experience for Sales, CS, and Marketing. Create documentation and SOPs for recurring processes. Own a RevOps system improvement backlog and ship from it consistently.

Tier 3 — Architecture, Integrations, and Strategic Technical Ownership

  • HubSpot Architecture and System Design
    Own HubSpot architecture decisions: object model (contacts, companies, deals, custom objects), lifecycle design and funnel logic, pipeline strategy and stage definitions, and a data model built to support future reporting and scale. Decisions at this level require no hand-holding — you bring a recommendation with tradeoffs.

  • Major Integrations and New Tools
    Fully own integration projects end-to-end: evaluate system fit and integration requirements, design architecture and data flow, implement and validate in production, monitor and maintain post-launch. Rapidly learn new platforms and integrate them cleanly into the existing stack without creating technical debt.

  • Independent Technical Execution
    Translate business intent into correct technical design. Produce proposals with explicit tradeoffs — fast vs. scalable, brittle vs. durable, build vs. buy. Lead execution and communicate clearly to stakeholders throughout.

  • Scalability and Handoff Readiness
    Build systems that can be handed off cleanly: documentation, diagrams, runbooks, and governance rules. Implement best practices so the system does not degrade over time.

What You Bring

  • 4+ years of hands-on HubSpot experience with demonstrated ownership of workflows, automation, and CRM architecture

  • Proven ability to own and execute Tier 2–3 work independently — you do not need instructions written out step by step

  • Experience designing and managing integrations between HubSpot and third-party tools (native, API, or middleware-based)

  • Strong understanding of CRM data modeling — object relationships, lifecycle logic, pipeline design, attribution

  • Ability to identify root cause in complex system failures, not just surface symptoms

  • Comfortable producing technical documentation, runbooks and architecture diagrams as a natural part of shipping work

  • Strong written and spoken English — this role works cross-functionally and remotely, and clarity matters

  • B2B SaaS experience required. Startup or fast-moving company experience strongly preferred

  • HubSpot certifications are a plus; demonstrated output matters more

How Success Is Measured

  • HubSpot user access is provisioned, deprovisioned, and audit-ready at all times — zero SOC 2 exceptions

  • Internal support requests are resolved or correctly triaged within agreed SLA

  • Workflows and automations are documented, functioning, and do not require manual intervention to maintain

  • Data anomalies are caught and root-caused before they affect downstream reporting or pipeline visibility

  • Integration projects are delivered end-to-end with documentation and post-launch monitoring in place

  • Architecture decisions come with written proposals and tradeoffs — no decision is made by verbal instruction alone

  • The system can be handed off cleanly at any time: documentation, diagrams, and runbooks exist and are current
