ROLE OVERVIEW
As Payroll & Accounts Payable Manager, you will play a critical leadership role in ensuring the accuracy, integrity, and efficiency of payroll and accounts payable operations across Canada and the United States.
Sitting within the Finance team, this role is responsible for overseeing payroll processing and full-cycle accounts payable operations, ensuring compliance, strong internal controls, and operational excellence. You will partner closely with People & Culture, department leaders, and external vendors to ensure employees are paid accurately and on time, and vendors are paid in accordance with contractual terms.

CORE RESPONSIBILITIES
Payroll Management (Canada & USA)
- Oversee end-to-end payroll processing in partnership with People & Culture and external payroll providers (e.g., ADP, Gusto).
- Review and approve payroll inputs, including new hires, compensation changes, bonuses, terminations, and leave adjustments.
- Ensure accurate and timely payroll processing in compliance with federal, provincial/state, and local regulations.
- Lead payroll reconciliations, journal entries, and month-end payroll reporting.
- Ensure remittances (taxes, CPP, EI, 401K, benefits premiums, garnishments, etc.) are processed accurately and on time.
- Own payroll compliance, documentation, audit support, and reporting requirements.
- Continuously improve payroll processes, controls, and documentation to enhance accuracy and scalability.
- Partner with People & Culture to ensure proper segregation of duties and data integrity across systems.
Accounts Payable Management
- Oversee full-cycle accounts payable operations across the organization.
- Manage vendor onboarding, including documentation, payment terms, and compliance requirements.
- Review and approve invoices for accuracy, coding, proper authorization, and alignment with budgets and contracts.
- Ensure timely processing of payments (EFT, wire, credit card, cheque) in accordance with established terms.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Oversee expense management processes, including employee reimbursements and corporate credit card reconciliations.
- Maintain accurate AP records and ensure appropriate documentation for audit readiness.
- Drive continuous improvement in AP workflows, automation, and internal controls.
Financial Controls & Reporting
- Maintain strong internal controls across payroll and AP processes.
- Prepare supporting schedules for month-end and year-end close.
- Assist with external audits and compliance reviews as required.
- Partner with Finance leadership to provide payroll and AP reporting insights, forecasts, and accruals.
- Identify risks and implement process enhancements to ensure operational integrity and compliance.
Team & Cross-Functional Collaboration
- Act as the primary point of contact for payroll and AP inquiries.
- Partner closely with People & Culture on compensation updates, benefits deductions, and leave adjustments.
- Collaborate with department leaders to ensure timely invoice approvals and budget alignment.
- Support and mentor junior team members (if applicable), fostering a culture of accuracy, accountability, and continuous improvement.
EXPERIENCE & SKILLS
- 5+ years of progressive experience in payroll and accounts payable, with at least 2 years in a supervisory or managerial capacity.
- Hands-on experience managing Canadian payroll; U.S. payroll experience strongly preferred.
- Strong knowledge of payroll legislation, statutory deductions, and remittance requirements across Canada (U.S. knowledge an asset).
- Experience with payroll systems (e.g., ADP, Gusto) and accounting/ERP platforms.
- Strong understanding of full-cycle accounts payable processes and internal controls.
- Advanced proficiency in Excel and financial reconciliation processes.
- Exceptional attention to detail and high degree of accuracy.
- Strong analytical and problem-solving skills.
- Highly organized and able to manage multiple deadlines in a fast-paced environment.
- Discreet and trusted with confidential payroll and financial information.
- Asset: Payroll Compliance Professional (PCP) or Certified Payroll Manager (CPM) designation.
- Background and credit check required.

The anticipated annual base salary range for this position is $100,000–$130,000. Individual compensation within this range is determined based on job-related factors such as experience, skills, level of responsibility, internal equity, and business needs. This range represents the expected base salary for this role and does not include other elements of Traxction's total rewards program.
