People Operations & Admin Associate

About the Role

The HR & Admin Associate will support the day-to-day administrative operations of the Human Resources and Administration functions. The role will primarily focus on coordinating HR processes, maintaining employee records, supporting HR programs, and facilitating administrative operations to ensure smooth running of workplace services. The role requires strong organizational skills, attention to detail, confidentiality, and the ability to coordinate across departments.

Key Responsibilities:

1. HR Administrative Support

  • Maintain accurate employee records and HR databases ensuring confidentiality and compliance.
  • Support onboarding processes including preparation of contracts, documentation, and induction coordination.
  • Coordinate offboarding processes including documentation, clearance, and exit tracking.
  • Assist with maintaining employee files and updating HRIS systems.
  • Prepare HR reports, trackers, and documentation as required by HR leadership.
  • Coordinate internal HR communications and documentation distribution.
  • Support payroll administration by verifying HR data such as employee changes, benefits updates, and deductions.

2. Employee Relations Support

  • Assist in handling HR inquiries and direct employees to the appropriate HR resources.
  • Support documentation and coordination of employee relations processes where required.
  • Support HRBP initiatives and employee engagement activities.

3. Administration & Facilities Coordination

  • Support smooth running of office administrative services and escalate issues where necessary.
  • Assist with staff travel logistics including booking transport and accommodation.
  • Coordinate facility maintenance schedules and escalate issues to vendors when needed.
  • Verify administrative vendor invoices and coordinate with finance for payments.
  • Assist with planning and coordination of company events and meetings.
  • Support management of meeting room schedules and access coordination where required.

4. Reporting & Coordination

  • Prepare periodic and ad hoc reports for HR and administration.
  • Track HR and administrative service requests to ensure timely resolution.
  • Coordinate with internal departments to ensure smooth delivery of workplace services.

5. General Duties

  • Support the HR and Administration teams with operational and administrative needs.
  • Perform any other duties assigned by the HR Manager or Administration Manager.

Minimum Qualifications:

  • Bachelor’s Degree in Human Resource Management, Business Administration, or a related field.
  • At least 1–2 years of experience in HR administration, office administration, or a related support role.

Preferred Qualifications

  • Experience working with HRIS or HR administrative systems.
  • Strong proficiency in MS Office applications (Excel, Word, PowerPoint).
  • Understanding of basic HR processes and employment documentation.
  • Strong organizational and coordination skills.
  • High level of discretion and confidentiality.
