Position Summary:
Sands Capital is seeking a motivated and professional Administrative Assistant to support our Client Relations Team. The ideal candidate will be experienced in handling a wide range of administrative-related tasks. This person must be exceedingly well-organized, have a strong attention to detail, maintain a high level of confidentiality, and take a proactive approach to work. This person must possess the ability to support a highly educated, successful, and active team.
Work Expectations:
The work location for this role is expected to be Sands Capital’s headquarters in Arlington, Virginia on a hybrid schedule 2-3 days per week in-office (including Tuesdays and Wednesdays) but should expect to be in the office five days per week depending on the demands of the role and team needs. Please know that the hybrid schedule is subject to change, as directed by our Executive Management Team, at any time.
While core business hours are 9:00am – 5:00pm, we expect this position to require flexibility to work additional hours, as needed.
Position Responsibilities:
The Administrative Assistant responsibilities include, but are not limited to:
- Meeting scheduling, planning, and general coordination for our Client Relations Directors;
- Coordinating multiple individual and team calendars;
- Communicating with clients and prospects via e-mail and regular mail;
- Working jointly with the production team to prepare required meeting materials (decks, handouts, etc.);
- Compiling and distributing meeting materials internally and externally;
- Coordinating and set-up of onsite meetings (room booking, room setup/breakdown, refreshments, catering, and technology);
- Making travel arrangements (both domestic and international), including visa and passport arrangements, creating itineraries, and compiling all needed materials;
- Coordinating trip logistics with multiple other Sands Capital staff;
- Coordinating conferences and other client events in partnership with others;
- Maintaining the CRM database including logging, editing, and organizing relationship data and prospective client data;
- Creating and maintaining Client Relations reports;
- Organizing and maintaining file systems, files correspondence, and other records;
- Completing and submitting expense reports;
- Supporting the Sr. Executive Assistants;
- Supporting front desk “reception” as a back-up;
- Executing other responsibilities, as needed; and

Position Qualifications:
- B.A. or B.S. degree preferred, but not required;
- Minimum three years of experience in an administrative role;
- Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook);
- Superior client service skills and a demonstrated ability to interact with all levels of staff; operates with a positive, ‘can-do’ attitude;
- Some experience preparing domestic and international travel arrangements;
- Excellent calendar management skills;
- Strong detail orientation skills along with the ability to perform position responsibilities independently with a high degree of efficiency and accuracy;
- Solid organizational skills with the ability to handle multiple priorities;
- High degree of initiative, self-discipline and motivation and the ability to work collaboratively and effectively as part of a team;
- Exceptional communication skills (both verbal and written);
- Solid time management skills, including an ability to identify and prioritize tasks; and
- Salesforce customer relationship management tools.

Salary and Benefits:
Sands Capital offers competitive compensation and generous benefits. For this role, the salary range is $50,000 - $80,000 and will be determined by the candidate’s professional experience and relevant knowledge, skills, and abilities. Base salary is one component of total compensation for this position. Sands Capital may also pay a discretionary, performance-based bonus which is targeted as a percentage of base salary and varies by position and position level. The actual bonus paid, if any, is based on the achievement of quantitative and/ or qualitative goals as well as the success of the firm.
