Maintenance Clerk
Shift: Monday through Friday / 8am-4:30pm
Location: 10462 Hickory Hill Road Ashland, VA 23005
Hourly Range: $23.50 - $30.30 (varies based on experience)
What's the Short Version?
The Maintenance Clerk provides essential support to the Distribution Center maintenance team. This role is responsible for coordinating maintenance activities, managing inventory and supplies, verifying billing, and entering data into the Limble CMMS system. This role ensures seamless administrative and logistical operations to help maintain asset reliability and facility efficiency.
What Will You Be Doing?
- Organize, plan, and schedule preventive and corrective maintenance tasks using Limble CMMS.
- Create and assign work orders to team members under the direction of Facilities Manager.
- Manage the end-to-end process of maintenance supply and spare parts flow to ensure operational readiness
- Maintain and update accurate records of assets, job plans, and maintenance logs
- Maintain well-organized and accurately stocked storerooms, ensuring the availability of critical and spare parts.
- Ensure data accuracy and integrity within the Limble system.
- Create purchase orders (POs) and coordinate with vendors to procure necessary parts and services.
- Validate and resolve issues with vendor invoices and process them through SanMar’s financial systems.
- Process maintenance-related invoices and purchase orders.
- Perform other duties as assigned.
- Comply with all policies and standards.
What Are We Looking For?
- High School Diploma or equivalent
- 1-3 years of experience in facilities, operations, or logistics support roles
- Experience with maintenance storerooms, parts tracking, and vendor coordination is preferred
- Experience working with computerized maintenance management systems (CMMS), such as Limble, is preferred.
- Basic mechanical knowledge or a strong willingness to learn.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines effectively.
- Ability to work independently, exercise sound judgment, and take initiative
What Should You Expect?
DC Office: While performing the duties of this job, the employee is constantly required to stand and walk. The employee may lift and/or move up to 30 pounds. The employee is frequently required to reach with hands and arms, grasp and perform repetitive hand, wrist and arm motions. The employee is frequently required to climb stairs, kneel/squat, bend and carry. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus. Basic literacy is required for operation of machines and necessary daily paperwork. Ability to work on computer and mobile phone for multiple hours; with frequent interruptions. Work environment is moderately noisy. The employee is occasionally required to work near conveyor systems. There is exposure to dust and changes in weather conditions. Work is performed under typical warehouse conditions. Potential hazards exist with regard to machinery such as forklifts, pallet jacks, mechanized systems, etc. Work environment is hectic and fast-paced. The employee is regularly exposed to ambient lighting and can be exposed to extreme heat and extreme cold including climates consistent with outside weather conditions.
