Job Summary: In this role, you will serve as a financial and operational partner to the Student CEO. You will own the end-to-end inventory counting, review, and ordering process. The Student CEO remains Accountable for inventory and ordering outcomes, and partners with you on PAR strategy, product availability audits, OOS root-cause analysis, and waste coaching.

Who You Will Support

• Student CEO: Own the inventory counting, review, and ordering process on their behalf; surface insights from inventory count flags and ordering trends; partner on PAR recommendations and root-cause findings. The Student CEO is Accountable for these processes and retains visibility into your work.

HQ Operations Team: Review weekly cafe metrics and inventory-related resources with your Student CEO; provide recommendations for updates.Student VP of Campus Marketing (where applicable): Collaborate to drive sales by ensuring product availability for all marketing initiatives and analyzing sales reports after marketing events occur.

What You Will Own

• Inventory Counting & Review — Own accurate weekly inventory counts and the review/correction process.
• Complete all weekly inventory counts on time across the cafe; both the full cafe count on Sundays and the mid-week Sysco counts.
• Review and correct inventory using AI-informed review tools prior to placing orders, ensuring accuracy and consistency week over week.
• Share inventory review outputs and counting activity with the Student CEO so they retain full visibility into inventory operations.
• Coach team to receive and store inventory orders according to food safety and FIFO guidelines.
  
  

Ordering Across All Vendors — Own placing accurate, on-time orders across all Saxbys ordering platforms.

• Place all weekly orders across Sysco, Clark, and Roastery using AI-informed order recommendations; confirm that order confirmations come through to the cafe email after every submission.
• Partner with the Student CEO to apply and refine Ordering and Prep PARs based on demand trends, OOS root-cause findings, and seasonality.
• Plan Ordering PARs and ensure product availability for all Saxbys-related events, including tabling and catering, and support inventory wind-down ahead of semester breaks.
  
  
• Cafe Performance Analysis & Waste Coaching — Monitor the operational and financial health of the cafe and translate insights into action alongside the Student CEO.
• Identify patterns, trends, and anomalies in sales, COGS, and labor through the Weekly Financial Review; offer feedback on scheduling, anchoring, and ordering decisions.
• Complete monthly P&L reviews to interpret how business decisions translate to actual COGS, Labor, and other operational metrics.
• Partner with the Student CEO on product availability audits, OOS root-cause analysis, and waste coaching

 

What Success Looks Like

• Cafe revenue beats YoY sales for at least 2 continuous months out of the semester (or beats budget where no prior-year comp is available).
• Out-of-stocks eliminated by Week 2 of the semester.
• 100% of orders placed on time across Sysco, Clark, and Roastery.
• 100% accurate inventory counts and reviews completed weekly.
• 100% completion of Weekly Financial Reviews, delivered on time to SCEO, Operations Lead, and P&OI team.
• 100% product availability for catering/tabling events.
• 100% attendance and active participation in weekly Student Leadership Team Meetings.
• Continuous, proactive communication to share findings, risks, and recommendations to the SCEO in real time.

 

What Competencies You Should Gain

Inventory Management Skills: Practical knowledge in conducting accurate inventory counts, applying and refining PARs, leveraging AI-driven tools to review inventory, and maintaining product availability to maximize operational efficiency and profitability.Data Analysis: Ability to analyze operational data to measure business performance and identify trends and opportunities; reflect on how particular decisions affect sales, COGS, and overall profitability.Financial Acumen: Understanding of how to track and interpret financial data and apply it to drive business decisions.Leadership Support: Ability to assist leaders in executing strategic initiatives; fostering a collaborative environment to drive organizational success.

What You Have Done

• Worked as a Student CEO in your cafe (Team Leads will be considered with a strong recommendation from Operations)
• In good standing as a cafe team member (i.e., 5 or fewer C&C points at time of application)
• Completed the Saxbys Supply Chain Badge Microcredential

 

What is Required

• Support, exhibit, and promote Saxbys Mission and Core Values in all daily activities. 
• 8-10 hours/week, in addition to regular cafe responsibilities. Must maintain Level 4 Team Lead status in Cafe to hold the role. Must be available on Sundays to complete inventory management tasks. 
• A servant leadership approach by providing the tools the team needs, completing tasks alongside the team, and giving productive feedback and direction while working behind the bar to support efforts made to improve operational efficiency.
