Benefits Analyst & Onboarding Specialist
The Benefits Analyst & Onboarding Specialist plays a critical role in delivering a seamless and engaging employee experience across both benefits administration and onboarding. This position is responsible for the administration, analysis, and continuous improvement of employee benefit programs, while ensuring a smooth, compliant, and well-coordinated onboarding experience.
This role ensures benefit programs are competitive, compliant, cost-effective, and clearly communicated, while also driving a positive first impression for new hires. The position partners closely with HR, Payroll, IT, and external vendors to support the full employee lifecycle.
Key Responsibilities
Benefits Administration & Analysis
- Administer a comprehensive suite of employee benefit programs, including medical, dental, vision, life, disability, retirement, wellness, and leave programs.
- Serve as a trusted advisor to employees, guiding benefit selection based on individual needs and life circumstances.
- Lead annual open enrollment activities, including planning, system configuration/testing, communications, and execution.
- Deliver benefits education through new hire orientations and company-wide open enrollment sessions.
- Ensure compliance with all applicable federal, state, and local regulations (e.g., ERISA, ACA, COBRA, HIPAA).
- Manage day-to-day relationships with benefit vendors, brokers, and carriers; resolve escalated issues effectively.
- Conduct audits, reconcile vendor invoices, and ensure accuracy of eligibility and enrollment data.
- Analyze benefits data, including cost, utilization, and trends, to support renewals, plan design, and budgeting decisions.
- Prepare reports, dashboards, and insights for leadership to inform strategic decision-making.
- Recommend and support wellness initiatives and employee engagement programs that enhance overall well-being.
Onboarding & HR Operations
- Coordinate the end-to-end onboarding process for craft employees, ensuring a consistent, compliant, and positive experience.
- Utilize Viewpoint Vista (HCM) to onboard new hires, ensuring accurate and timely data entry.
- Maintain data integrity across HR systems, ensuring accuracy, consistency, and compliance.
- Perform regular audits of employee data, identify discrepancies, and support reporting needs.
- Coordinate offboarding processes, including terminations and retirements, ensuring accurate system updates and compliance.
- Maintain employee records in accordance with legal requirements and company standards.
Cross-Functional Collaboration & Continuous Improvement
- Serve as a subject matter expert for benefits and onboarding-related inquiries.
- Partner with HR, Payroll, and IT to support HRIS configuration, testing, and system enhancements.
- Develop, document, and continuously improve standard operating procedures, job aids, and training materials.
- Identify process improvement opportunities to enhance efficiency, accuracy, and the overall employee experience.
Required Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- 3–5 years of experience in benefits administration, onboarding, or HR operations
- Strong knowledge of employee benefit plans and applicable regulatory requirements
- Experience managing onboarding processes and compliance documentation
- Advanced proficiency in HRIS systems and Microsoft Excel
Preferred Qualifications
- Experience leading open enrollment and supporting benefits renewals
- Knowledge of ACA reporting and audit processes
- Experience with E-Verify and I-9 compliance

Work Environment:
- This permanent role is based in Pittsburgh PA in an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level.
- Work assignments are diversified. Interpret, comprehend, and apply complex material, data, and instruction – prepare, provide, and convey diversified information.
- Minimal physical effort required. Work is mostly sedentary but does require walking, standing, bending, reaching, lifting, or carrying objects that typically with less than 10 lbs. (e.g., papers, books, files and small parts, etc.). Moderate dexterity – regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination.
- Work has periodic stress due to frequent goals and deadlines, and responsibility associated with the role.
