Operations Specialist

Scale LLP is seeking an Operations Specialist to play a mission-critical role in supporting the firm’s operations department. This team member will be an operations point of contact for the firm’s attorneys for client intake and other administrative support, and will also  collaborate cross functionally with our Talent / Community and Finance teams. The ideal candidate is efficient, collaborative, detail-oriented, has a willingness to learn, and professionally communicates with internal team members, attorneys, and clients. This is a 100% remote opportunity.

Responsibilities:

  • Support the full client intake process, including: conflicts procedures, drafting engagement letters, opening matters, and creating client folders. 
  • Manage mail and faxing systems, including: processing mail through our virtual mailbox provider, sending mail through mailform, and mail tracking.  
  • Maintain essential internal documents, information, and directories.  
  • Grant access permissions, create folders, and ensure compliance with firm policies and playbooks.
  • Manage file transfers for incoming attorney hires, including drafting file transfer letters. 
  • Coordinate and monitor attorney requirements related to software usage. 
  • Offer support for attorney onboarding and offboarding processes.
  • Coordinate data and matter management such as updating emails, addresses, matter name changes, etc.
  • Engage and communicate with attorneys and clients on client intake, administrative, and operational matters. 
  • Organize and maintain our data management system.
  • Assist with compiling data as needed for the compilation of reports. 
  • Collaborate with the Operations Team on various special projects and other responsibilities as requested.


You will succeed in this role if you have:

  • Bachelor’s degree or clear demonstration of equivalent knowledge and skill
  • At least a year of experience in a professional office setting. 
  • Strong oral and written communication, project management, and time management skills.
  • Proficiency in modern tech platform including Google Suite, Microsoft Office Suite, Slack, etc. with the willingness to learn and adapt to new technologies as needed 
  • Exceptional professional interpersonal skills and the ability to interact with personnel across the entire Scale ecosystem.
  • Experience with reporting and analytics is an added bonus. 
  • Efficient and quick mentality with strong follow through on tasks, able to “stay on your toes.” 
  • Desire to perform and “do it right.”

Bonus if you have:

  • Prior experience working at a law firm or in the professional service industry.
  • Familiarity with the following systems: iManage and Clio

Compensation:

  • The annualized base salary range  for this position is $50,000 - $55,000 + eligibility for a  performance bonus.
