Job Purpose – Summary

The Billing Executive is an integral member of our finance department, playing a crucial role in the accurate and timely management of billing across all media channels (TV, Print, Radio, Out-of-Home, Digital) and production. This role involves comprehensive oversight of both regional billing operations for Kenya and all WPP Scangroup PLC agencies across Sub-Saharan Africa, as well as the efficient processing of vendor invoices. The Billing Executive will also contribute to commercial analysis and reporting related to client contracts, pricing, and billing performance.

Key Responsibilities

  • Billing & Revenue Management:
    • Process regional media and production billing efficiently and accurately.
    • Conduct thorough reconciliation of planned versus actual media and production budgets.
    • Review monthly billing statements in close collaboration with client services and media planning teams.
    • Maintain consistent and open communication with client services regarding billing processes and status.
    • Act as the primary liaison between the Finance, Credit Control, and Media departments to ensure seamless operations.
  • Vendor Invoice & Accounts Payable Management:
    • Ensure timely receipt of proper vendor invoices within prescribed timelines (by the 5th day of the following month).
    • Verify that proof of performance and Local Purchase Orders (LPOs) accompany invoices and adhere to the prescribed format.
    • Accurately inward invoices into the Adams system within 24 hours of receipt.
    • Perform monthly reconciliation of supplier statements, providing status updates, particularly for invoices aged 90+ days.
    • Reconcile orders against received supplier invoices to ensure accuracy.
    • Process supplier invoices promptly for submission to the finance department.
    • Resolve all supplier queries within a two-week timeframe.
    • Ensure an annual "No Due" certificate is obtained from all major suppliers.
  • Financial Reporting & Compliance:
    • Conduct pricing analysis for client pitches, providing valuable insights.
    • Review and reconcile accrued media balances in compliance with SOX reporting requirements.
    • Ensure inter-company and inter-agency booking is completed within set timelines.
    • Maintain and organize relevant reports and data files to support the accounts payable team.
    • Ensure all necessary documentation is shared with the accounts payable team for onward processing of payments.

Professional & Technical Skills, and Experience Required

  • Education & Experience:
    • Bachelor's degree in Finance, Accounting, or a related field. CPA certification is an added advantage.
    • Minimum of 2-4 years of progressive work experience in a finance or billing role.
    • Work experience within the media and advertising industry is highly desirable.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite, with advanced Excel skills.
    • Experience with accounting or billing systems (e.g., Adams system).

    • Strong organizational and meticulous time management skills, with the ability to prioritize effectively.

    • Proven ability to multi-task and manage multiple concurrent media and accounting tasks effectively.
    • A natural problem-solver with a quick learning ability.
    • A collaborative team player mindset, fostering positive working relationships.
    • Efficiency in workflow processes.
