Role:

SCS Financial seeks a motivated and qualified individual for the position of Office Manager. This is an excellent opportunity for candidates who have experience handling a wide range of administrative and executive support related tasks and can work independently with little supervision. The ideal candidate must be exceedingly well organized, flexible, and enjoy the challenge of supporting a fast-paced office. In addition, the candidate must display a high degree of professionalism, confidentiality, and strong communication skills while interacting with SCS clients and colleagues (at all levels).

Responsibilities:

The essential duties of the Office Manager will include, and are not limited to:

  • Manage the front desk by answering phones, greeting clients and visitors upon arrival, accepting deliveries
  • Office administrative duties, including coordinating meetings, ordering meals for client and staff meetings, preparation, and cleanup of conference rooms; kitchen maintenance
  • Client support activities, including assisting with preparation, printing, and binding of client presentations and preparing iPads for client meetings; mailing of client correspondence
  • General office management, including oversight of office and grocery supply inventory and orders, office calendar management; collection and distribution of mail and packages
  • Perform general clerical duties to include, but not limited to, copying, faxing, mailing, and filing
  • General office coordination and functionality (printers working, paper always supplied, lights working etc.)
  • Primary contact with the property management and other vendors for the office suite, equipment, and supply maintenance
  • Support and coordinate workstation reservations for desk sharing using the reservation app and key access system administration
  • Process incoming and outgoing mail requests (FedEx, express couriers, regular & certified), track packages and scan/file receipts to document management system for certified mail
  • Document management – scan, file and distribute documents to the electronic filing system, team members or clients accordingly
  • Liaison among offices, ensure administrative support runs smoothly, foster communication and teamwork with best practices followed for company procedures and policies
  • Coordinate with People & Culture team on company celebrations and special events
  • Provide backup support for other team members during absences and times of heavy workflow
  • Other ad hoc duties or projects as assigned

Qualifications:

  • Bachelor’s degree or related experience
  • 3 to 5 years relevant experience in a professional setting supporting an office and senior executives
  • Excellent knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook, including calendar management
  • Ability to multi-task and prioritize several tasks, following through in a timely manner with a high level of accuracy and keen attention to detail
  • Strong organizational and communication skills, both oral and written
  • Candidate must display professionalism and exercise the utmost discretion 
  • Ability to work well independently and within a team
  • Salesforce CRM experience a plus
  • Ability to push/pull/lift bulk mail (approximately =30 pounds)
  • Can-do attitude and team player

Actual base pay could vary based on factors including but not limited to experience, subject matter expertise, geographic location where work will be performed and the applicant's skill set. The base pay is just one component of the total compensation package for employees. Other rewards may include an annual cash bonus and a comprehensive benefits package.
