
Sales Coordinator
As the Luxury Sales Coordinator, you will serve as the operational backbone for our elite sales division. This role is pivotal in providing high-level administrative and systems support to our Luxury Group Sellers and Luxury Leisure Sellers. You will be responsible for the seamless management of critical office and hospitality platforms to ensure our team delivers world-class service to high-net-worth clients and travel partners.
Key Responsibilities
- Systems Management & Data Integrity:
- Serve as the primary power user for Delphi and Opera PMS to manage guest rooms, block function space, and track deposits/payments in line with SOPs.
- Maintain accurate client profiles and sales records within PeopleSoft and other CRM/ERP systems.
- Utilise Travefy to build and distribute sophisticated, high-end travel itineraries for luxury leisure clients.
- Manage team communication and file sharing via Microsoft Teams.
- Sales Team Support:
- Provide comprehensive administrative support to the Luxury Group and Luxury Leisure sales segments, including drafting bespoke proposals, estimates, and formal contracts.
- Coordinate internal and external sales meetings, managing diaries and following up on action items.
- Assist with the planning and execution of site inspections and client sales trips, ensuring all collateral is prepared to a 5-star standard.
- Communication & Reporting:
- Act as a central point of contact for luxury travel partners and group meeting planners, ensuring a 24-hour turnaround on inquiries.
- Support Site Inspections, hosted Familiarization trips, and Sales team visits to island
- Monthly reporting including P&L support, Accounting accruals, and expense report requirements
- Prepare weekly and monthly sales performance reports, tracking leads, opportunities, and definite bookings to support strategic decision-making.
Required Qualifications & Skills
- Technical Proficiency: Extensive hands-on experience with Delphi, Opera, PeopleSoft, Microsoft Teams, and Travefy is essential.
- Industry Experience: A minimum of 2 years of experience in a sales support or coordination role within a luxury 5-star resort environment.
- Precision & Detail: Exceptional attention to detail, specifically in contract generation and data entry.
- Adaptability: Proven ability to manage multiple priorities in a fast-paced, high-pressure environment while maintaining a calm, professional demeanor.

Salary range: $14.00-$16.00 USD per hour plus gratuities.
