Role Summary
The Workplace Experience Coordinator supports the day-to-day operations of our Austin office and contributes to a high-quality employee experience. This role sits on the People & Culture (P&C) team and supports senior leaders to ensure seamless office operations, thoughtful engagement, and strong administrative support.
This is an on-site role based in our Austin office (5 days per week).
What You Will Do
Office Engagement
- Support planning and execution of office events, team gatherings, and engagement initiatives.
- Partner with P&C on workplace experience programs that enhance employee satisfaction and culture.
- Help maintain internal communications related to office updates and events.
- Maintain a well-organized, fully functional office environment.
- Manage office supply inventory, restocking as needed and tracking usage.
- Coordinate office maintenance and repairs with vendors and building management.
- Oversee communal spaces (kitchen, conference rooms, shared areas) to ensure they are clean, stocked, and welcoming.
- Support seating assignments, desk setups, and workstation requests.
- Assist with mail, deliveries, and vendor coordination.
- Support safety and security initiatives, including badge access and emergency preparedness processes.
- Greet visitors and create a welcoming, professional office environment.
Executive Scheduling & Expense Support
- Provide calendar support for senior leaders, including scheduling meetings and managing logistics.
- Coordinate internal and external meetings, including room bookings and preparation.
- Prepare and submit expense reports in a timely and accurate manner.
- Support travel coordination as needed.
People & Culture Support / Recruiting Support
- Partner with Recruiting to support candidate resume review, interview scheduling, and overall candidate logistics.
- Ensure interview rooms are prepared and candidates have a seamless on-site experience.
- Provide administrative support for P&C initiatives and cross-functional projects.
- Support documentation, reporting, and coordination for key People programs as needed.
Qualifications & Skills
Experience
- 0–2 years of experience in office administration, facilities, recruiting coordination, or a related role.
Core Skills
- Strong organizational and multitasking abilities.
- Proactive problem-solving mindset with attention to detail.
- Clear, professional communication skills.
Technical Skills
- Familiarity with Microsoft Office, Google Workspace, and basic office management tools.
Preferred
- Interest in office operations, workplace experience, recruiting coordination, or People & Culture work.
Candidates must be able to work on-site in our Austin office five days per week.
Base salary is $41,000-60,000 annually. Individual pay is based on factors unique to each candidate, including skill set, experience, location, and other job-related reasons.
