Position Description

Sensei strives to guide and inspire our guests through our retreats and wellness experiences. The Wellness Operations team supports all wellness components of Sensei operating entities (including retreats, wellness clubs, and wellness operations within Sensei Hotels and Resorts) via direct oversight and/or consulting support. The Wellness Operations team ensures development, implementation, execution, and quality control of efficient, effective, and successful operations, and innovative, validated, and unique programming. 

Responsibilities 

Programming and Operations

Sensei operates and develops programming for health retreats in luxury hospitality settings. The Operations & Programming Manager will have roles in both the operational success of these retreats and program assessment, development, and selection. 

  • Project Management 
    • Support and advise on projects within strategic direction of Sensei, including, but not limited to, retreats, packages, programs, services, groups, post-stay, and any other type of Sensei designed experience. 
    • Support operations in the development, implementation, and monitoring of processes and proceedures. 
    • Support in ideation, research, and development of new Activities, Programs, Packages, Products, and Partnerships in collaboration with Research Scientists and the Innovation & Improvement Committee
    • Support the Innovation & Improvement process, and implement innovation intiatives on property. 
  • New Programming Management: 
    • Participate in new program ideation sessions with corporate and property teams
    • Draft resource documents and policies and procedures
    • Identify content needs and coordinating with content development team 
    • Facilitate scheduling and pricing analyses 
    • Develop and deliver protocols and standard operating procedures for the implementation of wellness innovations & technologies by operational staff, as part of the Innovation & Improvement Process
    • In collaboration with L&D, design, develop, and deliver training and educational materials of wellness innovations & technoloiges by operational teams as part of the Innovation & Improvement Process.
    • Create training plans in coordination with Corporate L&D and on-property leads
    • Coordinate training and test-out of property teams on new program offerings 
    • Provide quality assurance resources, feedback and recommendations. 
  • Quality Assurance Management; 
    • Ensure operational success of new and existing programs, packages, and experiences.
    • Monitor wellness programing using analytics, audits, and evaluations to optimize guest participation, guest outcomes and guest satisfaction and to identify areas for improvement and gaps in people, processes or technology. 
    • Receive, track, analyze, and respond to Programming Change Requests from Sensei properties 
    • Support process for implementation including change approval, updating of the P&P, updating Book4Time as needed, reqesting marketing copy updates, updating training material, communicating changes to all properties, training execution, and quality assurance.
    • Participate in periodic quality audits as requested by Vice President of Wellness Operations, which may include travel related to property visits. 
    • Collect, analyze, and report on quality assurance data 
    • Draft quality assurance and improvement recommendation reports 
    • Determine action steps for quality assurance areas needing improvement
    • Celebrate successes identified in quality assurance reporting according to company protocol.
  • Hiring, Training and Development
    • Develop and deliver resource documents and policies & procedures; including communication and training on such documents in collaboration with L&D, and property leads.
    • Develop, maintain, and administer training plans implemented by location-specific trainers in collaboration with L&D and property teams, which may include travel related to property visits. 
    • Develop and maintain standards for wellness experiences, including hiring and training standards, to ensure a high quality, safe, and effective guest experience 
    • Collaborate with retreats in the hiring and training of practitioners as needed. 

 

Pre-Opening

Sensei is in a growth phase and anticipates 1-2 pre-openings per year. The Operations and Programming Managers will support pre-openings in a variety of ways included but not limited to: 

  • Sourcing of new products based on property specific needs. 
  • Wellness Menu recommendations, including adapting existing protocols and descriptions to match new operational needs. 
  • Assessment of wellness needs based on location, operational flow, guest demographics, and other locational challenges/opportunities. 
  • Onboarding and training of new Guides, practitioners, and operational leaders 
  • Support as taskforce and/or designated trainer for path or operational support. 
  • Development of training material and protocols based on specific property nuances. 
  • Support Business Development as needed for new partnerships, opportunities, pop-ups, and licensing agreements. 

 

Path Specific Guide/Practitioner Support 

The below responsibilities relate to the specific credentials held. Credentials in nutrition, support nutrition path. Credentials in fitness, support the exercise physiology path. Credentials in psychology, support the mindset path. Credentials in Spa, support spa operations. Travel will be required for these responsibilities. These path specific responsibilities include, but are not limited to, the following: 

  • Facilitate path specific meetings to foster connection, collaboration, and innovation. 
  • Collect scientific topics that require vetting from the Scientific Affairs team 
  • Ensure regular and supportive communication with all members of designated path 
  • Synthesize & deliver periodic updates to key stakeholders and teams on emerging industry trends and innovations and how they can be integrated into Sensei operations 
  • Synthsize and action requests for new programming initatives 
  • Respond to PR and media inquiries as requested by Brand/Marketing
  • Identify training needs and coordinate and/or implement approved trainings 
  • Manage relationships and develop contracts for partnerships
  • Collaborate with Technology & IT departments to develop and improve Sensei’s wellness technologies & innovations
  • Support hiring of contractors, wellness practitioners, and Guides 
  • Serve as an in-person Guide or practitioner when coverage or training on property is needed
  • Serve as an in-person Guide, practitioner, and/or brand ambassador as needed for business development and/or marketing initiatives
  • Use AI-powered research tools like CITE and others to conduct evidence synthesis and update content libraries with new knowledge 
  • Support vetting, design, and development of new ideas from the Innovation & Improvement process 
  • Maintain, organize, and update reference materials including but not limited to, white papers, knowledge libraries, Lessonly courses, and other documentation 
  • Assist in maintaining and updating published content as needed
  • Hashtag library content creation, wellness science validation, and quality assurance. 
  • Knowledge library content creation, wellness science validation, and quality assurance.
  • Act as an internal ambassador for evidence-based wellness

Qualifications

Education and/or Experience

  • Master’s degree from an accredited college or university in Exercise Science, Nutrition, Psychology, Mindfulness, Health Science
  • Minimum 5 years of delivery experience in a wellness center, luxury retreat, clinical, private practice, wellness club, or corporate setting
  • Experience or education in business management, project management, or operations preferred. 
  • Demonstrated experience building and cultivating virtual and/or in-person coaching relationships
  • Demonstrated experience in program planning, development, implementation, and evaluation
  • Demonstrated experience developing and implementing business plans
  • Demonstrated experience in a research and development capacity

Required Technical / Other Skills and Abilities

  • Excellent communication and organization skills
