The Shed seeks a highly motivated professional who embraces the organization’s ambition and mission. Reporting to Max Hodges, The Shed’s Chief Executive Officer (CEO), the position entails a wide variety of activities essential to the leadership of The Shed. These include Board meeting preparation and administration, Board events and engagement strategies, drafting correspondence and public remarks, calendar management, stakeholder communication, and managing a broad range of internal and external inquiries. This position is ideal for a candidate interested in gaining insight and experience in general management and Board engagement at a large-scale arts organization.
The ideal candidate will demonstrate a high level of professionalism, excellent attention to detail, sound decision-making, exceptional organizational skills, the ability to maintain discretion in confidential matters, and the capacity to coordinate multiple projects with competing deadlines.
Key responsibilities include, but are not limited to
Board Governance and Administration
- Manage all Board of Directors meeting logistics, including scheduling, distribution of materials, tracking RSVPs and attendance, taking minutes, and organizing meeting spaces, catering, and Zoom/A/V needs.
- Assist the CEO and Chief of Staff in crafting meeting agendas and compelling pre-read materials.
- Become an expert in the Board Bylaws, manage governance information and action steps (e.g., term renewals, committee membership, officer elections), and maintain the Board Directory.
- Oversee the onboarding process for new Board members by coordinating efforts across leadership and internal teams, and ensuring accountability for next steps.
- Partner with the CEO and Development department to strengthen Board engagement and development, contributing both in internal meetings and in the planning and execution of external events.
- Maintain contact lists and visit notes in Google Contacts and Tessitura (institutional database).
Office of the CEO
- Manage the CEO’s calendar, including external meetings with a wide range of Shed stakeholders.
- Support the CEO with vivid, effective drafts of remarks, acknowledgments, Board communications, and internal messages.
- Execute general office administration such as drafting correspondence and meeting notes, completing expense reports, arranging Shed tickets for guests/VIPs, tracking the department budget, making restaurant reservations, and coordinating deliveries.
- Provide on-site support at Board and development events.
- Develop in-depth knowledge of The Shed’s full spectrum of programs and activities to ensure accurate representation in planning and communication.
Special Projects
- As assigned, manage projects that span multiple departments, collecting input and driving toward deadlines.
- In addition, can use creative, proactive problem-solving and executive-level communication to grow the role by adding value beyond the listed functions.
Qualifications and Qualities
- Bachelor’s degree or equivalent experience
- A proven track record of strong organizational skills, constituent relations, and superior professionalism and judgment
- Excellent written and verbal communication skills
- Precision, attention to detail, and a strong sense of ownership
- Flexibility and the ability to thrive in a fast-paced environment with multiple priorities
- Ability to represent The Shed and the CEO with warmth and professionalism to staff, donors, Board members, artists, and audiences
- Experience handling confidential or sensitive information with discretion
- Proficiency with PC platforms, G-Suite, Microsoft Office, and Adobe Acrobat; experience with database management is a plus
- Flexibility to work in a hybrid workplace (This role requires a minimum of three to four days per week on-site in The Shed offices, and, with advance notice, the ability and willingness to work nights and weekends for select meetings, events, and performances.)

The salary range for this position is $70,000 to $75,000. Compensation is commensurate with experience.
