Location: Remote - India 

Role Description: 

The Safety and Compliance Specialist plays a vital role in supporting the Safety and Compliance department by managing data, maintaining documentation, and assisting in the development of procedures and reports. This position requires a proactive and detail-oriented individual with strong organizational skills, capable of handling multiple tasks and contributing to the department's overall success. This role reports to Product Safety Manager. 

What you’ll do: 

  • Data Analysis and Validation:  
    • Collect, organize, and analyze safety and compliance data from various sources including AI model outputs validation. This includes, but not limited to; product taxonomy, dangerous good (DG) and hazardous material status via Safety Data Sheets (SDS) daily review, products that have special storage requirements for compliance e.g., good manufacturing practices (GMP) for consumables, cosmetics, medical devices, etc. 
    • Validate Safety Data Sheets (SDS) requests from Merchant Care/Success team via JIRA ticketing system. Verify Dangerous Good (DG) class or Hazardous Material status, size and shape, and storage requirements for new items. 
    • Validate data to ensure accuracy and consistency, identifying and correcting errors as needed. 
    • Assist in the creation and maintenance of databases for tracking compliance metrics. 
  • Procedure Writing: 
    • Assist in drafting, reviewing, and updating safety and compliance procedures as assigned. 
    • Collaborate with cross functional stakeholder team members to ensure procedures align with regulatory requirements and company policies. 
    • Ensure that all procedures are clear, concise, and accessible to relevant stakeholders through the document control and change management processes. 
  • Document Control: 
    • Maintain and update the department’s document control system, ensuring all records are accurate and up to date. 
    • Manage the distribution and retrieval of controlled documents, ensuring compliance with regulatory standards. 
    • Assist in the preparation and filing of regulatory documentation. 
  • Compliance Record Keeping:  
    • Maintain accurate records of compliance activities, ensuring all documentation is readily accessible for audits and inspections. This includes, but is not limited to; GMP/GFSI certifications for SICs and Hubs, FDA registration for sites, corporate staff training records for safety and compliance, etc. 
    • Monitor compliance deadlines and ensure timely submissions of required documents. 
  • Audit Preparation: 
    • Assist in the preparation for internal and external audits, including gathering necessary documentation and organizing records. 
    • Support the audit process by providing requested information and ensuring all compliance standards are met. 
  • Monthly Reporting: 
    • Compile data and assist in the preparation of monthly safety and compliance reports. 
    • Ensure reports are completed accurately and submitted on time. 
    • Track key metrics and trends to support continuous improvement initiatives. 
  • SharePoint Management: 
    • Manage the Safety and Compliance department’s SharePoint site, ensuring it is organized, up-to-date, and user-friendly. 
    • Upload, update, and archive documents as necessary. 
    • Assist in the creation of new SharePoint pages and tools to support department needs. 
  • Presentation Development: 
    • Assist in the development of presentations for internal and external meetings or trainings. 
    • Gather data, create visual aids, and organize information to ensure presentations are clear and impactful. 
    • Support the team in rehearsing and refining presentation delivery. 
  • Metrics Tracking: 
    • Track and report on key safety and compliance metrics, ensuring accurate and timely updates. 
    • Assist in the development and maintenance of dashboards to visualize department performance. 
    • Work with the team to identify trends and areas for improvement. 
  • Perform additional tasks as required to support the Safety and Compliance department, including special projects and initiatives. 

What you’ll bring to the table: 

  • Bachelor’s degree in Chemistry preferred.  
  • Preferred experience in a safety, compliance, or quality assurance environment. 
  • Solid analytical and organizational skills. 
  • Familiarity with data analysis tools and techniques. 
  • Basic understanding of regulatory requirements related to safety and compliance. 
  • Excellent written and verbal communication abilities. 
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with SharePoint. 
  • Ability to handle sensitive information with discretion. 
  • Attention to detail and accuracy in all tasks. 
  • Ability to work independently and as part of a team.
