Location: Remote – India, while this is a remote position, you must be based in the Delhi area with flexibility to work onsite at our home office as necessary.
Role Description:
The Executive Assistant is responsible for supporting the Chief Financial Officer and Chief People Officer, both of whom are located in the US. This role demands a proactive and organized individual capable of handling a diverse range of responsibilities with a high sense of urgency and the ability to execute without limited direction. You will be tasked with managing and coordinating various projects within the India Operations team, including the organization of offsite events. The ideal candidate will possess strong organizational skills, meticulous attention to detail, and the ability to work collaboratively across different departments. This role requires someone to work CST hours to align with executives working hours, this would be overnight IST hours. This role reports to the Manager of Administrative Services.
What you’ll do:
- Helps executives with various business tasks that can't be handled by the executive.
- Handles contacts from important people from big companies, using judgment for each unique situation.
- Organize and manage onsite events in India, as well as assist the Admin Team with company-wide event planning and execution.
- Organizes and arranges for staff to attend meetings and conferences on their own.
- Reviews outgoing correspondence for executive approval and alerts writers to any conflicts or deviations from policies or the executive’s viewpoints.
- Ensures that requests for action or information are relayed to the appropriate staff member in the executive's absence.
- Interprets requests, helps implement actions, and decides whether executives should be notified of important or emergency matters.
- Prepares reports with conclusions and recommendations for solving operational and administrative problems.
- Coordinates the collection and preparation of operating reports, such as budget expenditures and statistical performance data.
- May compose and sign correspondence on behalf of executives.
- May serve as the executive’s representative at meetings, expressing the executive’s viewpoints.
- Demonstrates strategic, big-picture thinking with the ability to execute many details accurately.
- Plan and book executive travel arrangements as needed.
- Manage and process weekly expenses for company executives and offsite events.
- Performs other duties and responsibilities as necessary.
What you’ll bring to the table:
- Bachelor’s degree.
- 7+ years administrative experience supporting C-level executives.
- Excellent Microsoft Office, Excel, PowerPoint skills.
- Excellent communication, time management, analytical and problem-solving skills.
- Ability to maintain confidentiality when dealing with sensitive information.
