POSITION OVERVIEW

We are seeking a detail-oriented and proactive Sales Order Coordinator to join our growing Operations Team. In this critical role, you will own order processing from receipt through invoicing across a multi-node fulfillment network. You will oversee the seamless fulfillment of sales orders from our warehouses to retail and eCommerce customers, and Amazon. This essential role will work across several business systems, and own day-to-day communications with warehouses and retail partners. You’ll work cross-functionally to ensure timely and compliant delivery across all channels, while driving operational excellence, supporting strategic process improvements, and executing special projects that keep our supply chain agile and efficient.
This is a full-time remote role.

KEY RESPONSIBILITIES 

Order Processing

  • Coordinate sales orders from receipt through invoice across sales channels including wholesale retailers, club retailers, Amazon, and DTC.
  • Validate order attributes including line-item quantities, UOM, pallet layers, unit pricing, and delivery deadlines. Consult Sales Team on unexpected attributes or to confirm terms.
  • Capture orders sent via EDI and email, and process through OMS, ERP, WMS, and EDI systems.
  • Work alongside Supply Chain Manager to make decisions and take action on inventory allocations including line item quantity changes, order authorization, inventory transfers, and kitting projects.
  • Set requested ship by dates for fulfillment centers to manage prioritization of order fulfillment. Monitor aged orders and collaborate with fulfillment centers on root causes and remediation.  
  • Troubleshoot order exceptions, in systems and with cross-functional teams.
  • Support creation and monitoring of fulfillment dashboards that capture order volumes (historical and in-process), and OTIF.
  • Support order compliance with packaging, labeling, and retailer routing guide requirements.

Communication with Customers

  • Foster relationships with longstanding and new retail partners by serving as the primary point of contact for pending and in-process orders.
  • Field retailer inquiries on WISMO, back in stock dates, or requested order changes.
  • Anticipate retailer questions or concerns by proactively sharing information. For example, share changes to order details such as SKUs, quantities, or delivery dates. Use AI-supported processes to share these changes in a timely manner and for a high volume of orders.
  • Maintain organized records of order details, freight bookings, invoices, and supporting documentation.
  • Serve as day-to-day contact and project coordinator for cross-functional internal teams, and third-party warehouse partners.

Cross-Functional Collaboration & Special Projects

  • Support special projects for sales promotions, brand collaborations, and product merchandising.
  • Document, update, and follow SOPs related to order fulfillment and system workflows.
  • Maintain accurate order and inventory records at warehouses. Assist with reconciliation of discrepancies.
  • Coordinate with the Sales Team, distributors, and retailers to support retailer-specific shipping requirements and timelines.
  • Provide general operational support and assist with special projects as needed.
