Position: Dispatcher

Purpose:
The Dispatcher plays a vital role in ensuring operational efficiency by coordinating and dispatching service technicians, managing schedules, and supporting both customers and team members. The Dispatcher helps deliver an exceptional service experience through organization, time management, and process-driven success.

Key Responsibilities:

📞 Customer Service & Communication:
• Answer and manage inbound customer calls with professionalism and empathy.
• Communicate proactively with customers to confirm service appointments, reschedule calls when necessary, and update on technician status.
• Act as a liaison between customers, technicians, and the parts department to ensure seamless operations.

🛠️ Scheduling & Dispatch:
• Efficiently dispatch service technicians to jobs based on location, priority, and technician skill set.
• Ensure all scheduled service calls are properly documented, tagged, and tracked in ServiceTitan software.
• Confirm that necessary parts are available with the parts department prior to dispatching.
• Schedule service appointments to optimize technician routes and minimize wait times.
• Manage and prioritize incoming leads to ensure high-value opportunities are dispatched first.
• Oversee on-call rotation and manage technician availability.

📊 Process & Metrics Management:
• Adhere to and meet key performance indicators (KPIs), such as service wait times, call resolution efficiency, and dispatch accuracy.
• Monitor job progress and ensure technicians are on schedule.
• Conduct checkouts after each service call, ensuring proper follow-ups and customer satisfaction.
• Close tickets accurately and promptly, ensuring all service details and updates are recorded.
• Generate reports and data from ServiceTitan to track performance and identify areas for improvement.

Job Requirements:

✔ Prior experience as a dispatcher or in a customer service role (HVAC or similar industry preferred).
✔ Strong organizational and time-management skills.
✔ Proficiency with ServiceTitan or similar dispatching software.
✔ Ability to manage multiple screens, calls, and tasks simultaneously.
✔ Excellent verbal and written communication skills.
✔ Problem-solving mindset with a focus on delivering customer-focused solutions.
✔ Metrics-driven with a strong commitment to meeting performance targets.
✔ Ability to work independently and stay calm in fast-paced environments.
✔ Positive attitude and a team-oriented mindset.
