About the Role:

We are seeking a highly motivated and experienced Medical Office Manager to lead our administrative team and support the continued growth of our organization. The Office Manager will play a vital role in ensuring the smooth and efficient operation of our headquarters by overseeing daily administrative tasks, implementing office policies, managing resources, and supporting our team. This is a hands-on role with both administrative and strategic responsibilities, offering the opportunity to make a significant impact on our organization.

Responsibilities:

  • Office Operations Management: Direct all office operations, including coordinating support services (e.g., IT, facilities management), managing vendor relationships, and ensuring a well-maintained and functional office environment. Implement and update office policies and protocols as needed to optimize efficiency and compliance.
  • Team Leadership & Development: Supervise, mentor, and evaluate the performance of administrative staff. Foster a positive and productive team environment. Conduct regular performance reviews and identify opportunities for employee training and development.
  • Resource Management: Oversee office supply inventory, manage business phone systems, and ensure efficient utilization of office resources. Develop and manage the office budget.
  • Documentation & Reporting: Organize and maintain important company documentation and reports, ensuring accuracy and accessibility. Prepare reports as requested by management.
  • Policy & Procedure Updates: Develop, implement, and maintain office policies and procedures to ensure compliance and best practices.
  • Performance Review Management: Manage the performance review process for administrative staff, providing constructive feedback and setting goals for improvement.
  • Employee Training / Development: Identify training needs and facilitate professional development opportunities for administrative staff.
  • Special Projects: Contribute to special projects as assigned by management, such as office renovations, event planning, or process improvements.

Requirements:

  • 3-5+ years of experience as an Office Manager in a healthcare setting.
  • Bachelor’s degree required.
  • Proven ability to manage a team and foster a positive work environment.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.  
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and delegate effectively.  
  • Ability to act with integrity, professionalism, and confidentiality.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and [mention any specific software used, e.g., EMR systems, project management software].

Pay:

  • 65k-75k annually with additional potential bonus based on performance
