Job Summary:

We are seeking a highly organized and detail-oriented Senior Medical Administrative Coordinator to provide crucial support to our medical business office operations in Playa Vista. This role will be responsible for a wide range of administrative tasks, ensuring efficient workflow, effective communication, and a smooth operational environment for our physicians, nursing home staff, and other stakeholders. The Senior Administrative Coordinator will play a key role in maintaining compliance, supporting quality assurance initiatives, and contributing to process improvement efforts.

Responsibilities:

Administrative & Operational Support:

  • Manage and coordinate day-to-day administrative operations, ensuring efficiency and accuracy.
  • Serve as a primary point of contact for internal and external inquiries, providing professional and timely responses.
  • Maintain and organize files, records, and other essential documentation, both physical and electronic.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare agendas, meeting minutes, and other administrative documents.
  • Manage office supplies and ensure adequate inventory levels.
  • Support the smooth operation of the facility in Playa Vista, managing any maintenance or safety concerns.

Compliance & Quality Assurance Support:

  • Maintain awareness of relevant healthcare regulations and assist in ensuring administrative compliance.
  • Support quality assurance initiatives through accurate record-keeping and administrative follow-up.
  • Assist in the implementation of best practices to enhance service delivery.

Customer Service & Communication:

  • Provide exceptional customer service to physicians, nursing home staff, patients, and other stakeholders, addressing their administrative needs effectively.
  • Facilitate clear and effective communication between different departments and external parties.
  • Build and maintain positive working relationships with all stakeholders.

Process Improvement & Standardization Support:

  • Assist in the development, implementation, and maintenance of standardized administrative operating procedures and protocols to ensure efficiency and consistency.
  • Contribute to the identification of areas for process improvement and assist in implementing changes.
  • Maintain meticulous attention to detail in all administrative tasks and procedures.

Qualifications:

  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Required to be in office daily in Playa Vista, CA.
  • Prior experience working within a tissue laboratory is a plus.
  • 3+ years of experience in an administrative support role, preferably in a healthcare or related setting.
  • Strong organizational, time management, and prioritization skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy

Pay:

  • 55 k - 70k annually with additional potential bonus based on performance
