We are experiencing a period of rapid growth and are seeking a detail-oriented and organized Part-Time Administrative Assistant to provide temporary support to our busy Accounting Department. Position Summary:

The Part-Time Administrative Assistant for Accounting will provide crucial administrative and clerical support to the accounting department on a temporary basis, ensuring efficient and accurate record-keeping and operational flow. This role involves a variety of tasks, including maintaining financial records, data entry, assisting with accounts receivable and payable processes, and providing general administrative support, all within a flexible, part-time schedule of up to 20 hours per week. There is a possibility for contract extension based on performance and business needs.

Responsibilities:

  • Filing and Record Keeping: Maintain a well-organized electronic filing system for accounts receivable transactions and other accounting documents.
  • Data Entry and Reporting: Accurately enter financial data into our POS software, generate routine reports as needed, and assist in the preparation of accounts receivable documentation.
  • Accounts Receivable Support: Communicate effectively with internal teams to facilitate the billing process for cash patients.
  • Event Bookings for Internal Employees: Coordinate logistics for internal marketing events and conferences by communicating with the sales and clinical teams to gather necessary information and manage bookings.
  • Administrative Support: Handle phone calls, manage emails, prepare correspondence, schedule meetings, and perform other general administrative duties to support the accounting department's daily operations.
  • Accounts Reconciliation Assistance: Under the direction of accounting staff, assist with basic account reconciliation tasks.
  • Report Preparation: Assist in the preparation of various financial reports as needed.
  • Billing and Invoicing Inquiries: Respond professionally and efficiently to internal inquiries related to billing and invoicing.

Position Requirements:

  • Data Entry Skills: Demonstrated proficiency in accurate and efficient data entry and management.
  • Microsoft Office and Google Apps Proficiency: Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Gmail).
  • Organizational and Time Management Skills: Excellent ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines consistently, within a part-time work schedule.
  • Communication Skills: Professional and effective communication skills, both verbally and in writing.
  • Preferred Experience: Previous experience in an accounting or finance administrative support role is preferred.

Compensation and Contract Details:

  • Pay: $7 - $10 USD per hour, depending on experience (DOE).
  • Hours: Part-time, maximum of 20 hours per week. Flexible scheduling options may be available.
  • Contract Length: Temporary, 3-month contract with a strong possibility of extension based on performance and company needs.
