Payroll Analyst
Job Description:
The Payroll Analyst is responsible for ensuring the accurate and timely processing of multi-state, multi-EIN payroll across the organization. This role requires strong analytical and technical skills, with a focus on auditing payroll data, identifying and resolving discrepancies, and maintaining compliance with all applicable state and federal regulations. The Payroll Analyst partners closely with Finance, HR, and Operations leaders, providing clear reporting and insight to support business decisions. This role also serves as an employee-facing resource, delivering exceptional service with empathy and precision.
Payroll Processing & Compliance
-Prepare, audit, and process biweekly and semi-monthly payroll for multiple entities across multiple states, including hourly, salaried, tipped, and commissioned employees.
-Ensure compliance with federal, state, and local wage and hour laws, including FLSA, tip credit, and state-specific tax requirements.
-Maintain current knowledge of payroll legislation and proactively communicate changes impacting payroll operations.
-Reconcile payroll reports to ensure data accuracy and integrity prior to submission.
Analytical & Reporting Responsibilities
-Build and maintain payroll reports and dashboards tracking accuracy, timeliness, and cost metrics.
-Analyze trends related to overtime, guarantee pay, bonuses, and other compensation components.
-Partner with Senior Payroll Manager, HR, and Finance to create and deliver ad hoc and recurring reports that inform business and People Team decisions.
-Utilize Excel (Pivot Tables, XLOOKUP, VLOOKUP, IF statements, conditional formatting, and data validation) to manage large datasets and drive insights.
Systems & Process Optimization
-Manage and troubleshoot payroll processes within UKG (preferred) or equivalent major payroll platforms such as ADP, Paylocity, or Workday.
-Partner with HRIS and Finance to improve data flow between systems, ensuring accuracy and efficiency.
-Identify process gaps and propose automation or workflow enhancements.
-Maintain accurate documentation for all payroll procedures, controls, and audits.
Stakeholder Partnership & Employee Support
-Field payroll-related requests from employees, managers, and department leaders, providing clear and timely responses.
-Partner cross-functionally with HRBPs, Talent, and Accounting to resolve complex pay, deduction, and tax matters.
-Serve as a trusted subject matter expert for payroll questions, balancing compliance with compassion and service.
-Communicate complex payroll topics in a clear, approachable, and solutions-oriented way.
MARGINAL FUNCTIONS
-Support year-end processing, including W-2 validation and tax reconciliations.
-Participate in audits (internal, external, and state/federal) as needed.
-Assist in the implementation of new payroll features, system upgrades, and testing.
-Provide backup coverage for payroll teammates during absences or peak periods.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
-Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, formulas, and data analysis.
-Strong understanding of payroll accounting principles and compliance requirements.
-Experience processing multi-state, multi-EIN payroll, preferably in retail, hospitality, or similar environments with tipped and/or commissioned employees.
-Proficiency with UKG preferred; ADP, Paylocity, or Workday experience transferable.
-Strong analytical and auditing skills with attention to detail and accuracy.

-Excellent communication skills; able to translate complex payroll information clearly to employees and stakeholders.
-Proven ability to manage multiple priorities and respond effectively to requests from varied stakeholders.
-High emotional intelligence and professionalism when handling sensitive information.
-Demonstrated commitment to confidentiality, ethics, and service excellence.
Education & Experience
-Bachelor’s degree in Accounting, Finance, HR, or related field preferred; equivalent experience considered.
-Minimum 3–5 years of progressive payroll experience in a multi-state environment.
-Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred but not required.
