
Billing Coordinator

The Billing Coordinator is responsible for the timely and accurate review and processing of Smartsheet customer orders and invoices across our global organization. This position ensures the accuracy, quality, and completeness of customer orders and invoices.

The Billing and Invoicing Coordinator will report to the Supervisor of Billing and Invoicing Operations located in San Jose, Costa Rica.
You will:
- Process customer sales orders and invoicing requests; to include new product orders, upgrade orders, renewal orders, and statement of work (SOW) services orders
- Achieve 98%+ accuracy for all processed transactions
- Ensure invoicing schedules and deadlines are consistently met each month
- Responsible for required order reviews and quality assurance prior to order invoicing
- Responsible for adhering to all company financial and process controls
- Build relationships and work within a team and cross-functionally to achieve the organization’s overall mission
- Participate in special projects as assigned
You have:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field. Equivalent relevant work experience will also be considered.
- Minimum of 1 year of combined experience in finance, customer service, or a related operational support role.
- Prior experience in Sales Support or Sales Operations is a strong plus.
- Familiarity with working in ticketing systems, including managing queues and resolving cases in a timely and efficient manner.
- Experience with customer relationship management (CRM) tools such as Sales force.
- Experience with enterprise resources planning (ERP) systems such as Netsuite, Opscon or similar platforms is a plus.
- Strong written and verbal communication skills, with professional proficiency in English.
- Demonstrated ability to deliver high-quality support to internal teams, with a focus on professionalism, clear communication, and timely issue resolution.
- Ability to thrive in a fast-paced and dynamic environment with changing priorities.
- Highly organized with strong attention to detail and the ability to multitask effectively.
