Partner Operations Data Analyst (Remote Eligible - Costa Rica)

San Jose, CR

For over 20 years, Smartsheet has empowered teams to manage work seamlessly and scale solutions smarter. Now, in our most ambitious chapter yet, we are uniting human teams with AI agents. By orchestrating the work agents do best, automating manual tasks and uncovering insights at scale, we create the space for people to focus on what truly matters: judgment, creativity, and big thinking. That is magic at work, and it’s what we show up for every day.

This isn't a role that waits for data to break and then cleans it up. You will help design the governance standards this data runs on, in close partnership with Partner Operations leadership and our Partner Systems lead, and you will help design how partner data flows into Salesforce as our single source of truth.

The bigger opportunity: clean, well-structured partner data is what makes AI actually trustworthy to build on. You will help envision and build how AI, including tools like Claude, makes partner data visible and usable for our Partner Account Managers (PAMs), from AI-assisted dashboards to forecasting support. This is a long-term, foundation-building function meant to compound in value over time. Done well, it directly shapes how leadership sees revenue, gives Partner Sales the visibility to manage pipeline and partner health proactively, and informs how we make partner program decisions.

You will report to the Head of Partner Programs & Operations in the US . This role is eligible for remote work within Costa Rica. You must reside in Costa Rica.

You Will

Partner Attribution & Pipeline Health

  • Maintain partner attribution logic, data quality, and cross-system reconciliation across Salesforce and other partner systems, ensuring MDF campaigns, marketing activities, and partner directory leads are properly captured and attributed to pipeline.
  • Validate that partner opportunity data, including deal registration for partner-sourced deals, is accurate and properly tagged, reconciling Salesforce against the partner portal.
  • Build and maintain visibility into partner health, pipeline health, and bookings results, so partner leadership and PAMs can proactively manage their book of business rather than react to it.

Data Architecture & Governance

  • Design and execute structured data cleanup across Salesforce and the partner portal (account, opportunity, and territory records), helping set the governance standards this work runs on in collaboration with Partner Programs leadership and our Partner Systems lead.
  • Partner with the Systems team on field-level access governance, so the right people, and only the right people, can update partner data.
  • Drive the definition and documentation of partner active and inactive status logic, running the annual review that applies it across the partner base.
  • Maintain the team's partner data dictionary and definitions documentation as attribution logic, tiering rules, and reporting definitions evolve.
  • Keep a clear change log on your own record updates so changes are traceable: what changed, why, and when.

Data Systems & AI Enablement

  • Design how partner data flows into Salesforce as our single source of truth, partnering closely with our Partner Systems lead to get ahead of conflicts before multiple teams touch the same record.
  • Envision and help build how AI, including tools like Claude, makes partner data visible and usable for our Partner Account Managers, from AI-assisted dashboards to forecasting support.
  • Serve as the long-term steward of the data quality and structure that our AI and forecasting initiatives depend on.

Commission, Incentives & Tier Administration

  • Own the accuracy of partner commission and payout validation for partner-sourced opportunities and deal registrations, giving Finance clean, timely data ahead of processing.
  • Administer end-of-year partner rebates: identify amounts due, validate that partners have met the requirements, and partner with Finance to ensure accurate, timely payment.
  • Support end-of-year partner re-tiering, validating partner performance against tier requirements and driving the resulting account updates.
  • Deliver a structured quarterly tier-progression report for PAMs and/or partners, showing exactly where each partner stands on maintaining their current tier or advancing to the next, so both sides have time to close gaps before year-end re-tiering.

Reporting & Forecasting Support

  • Support the ongoing accuracy of recurring PAM and regional performance and forecasting reporting, keeping source data clean and current as the reporting cadence evolves.

  • Proactively identify data issues before they surface downstream, and drive structured UAT whenever enhancements roll out to internal or partner-facing reporting and dashboards.

  • Partner with cross-functional project owners, including active PMO or operations initiatives, on data cleanup and reporting workstreams, executing the data-side tasks those initiatives require.

Partner Portal & Systems Collaboration

  • Partner closely with our Partner Systems lead on the data side of the partner portal and our Crossbeam instance: flagging data issues, validating outputs, and representing the data and attribution perspective in system and configuration decisions.
  • Support territory management by working with Regional Partner leadership whenever territory or account assignments change, ensuring the resulting record updates are made accurately.
  • Provide input on what partner data is exposed in the portal and how partners can request changes.

Cross-Functional Alignment

  • Drive alignment with our broader data governance and Finance teams on data update policies and processes.
  • Serve as a day-to-day point of contact for data questions from PAMs and Regional Partner leadership, escalating policy-level questions to Partner Programs leadership.

You Have

  • Minimum of 3 years in partner operations, channel operations, revenue operations, or sales operations, with hands-on Salesforce experience.
  • Deep, hands-on expertise working with data, from cleaning and structuring large, messy datasets to building the reports and models that turn them into something usable.
  • Experience in a SaaS environment, with comfort navigating the data structures common to that world, from CRM-driven pipeline to multi-tier partner segmentation and usage-based metrics.
  • Strong Excel or Google Sheet skills and comfort reconciling and validating data across multiple systems.
  • Excellent attention to detail and a bias toward flagging issues before they compound.
  • A builder's mindset: comfortable proposing and shaping data governance standards in partnership with Partner Programs leadership and our Systems team, not just following standards someone else wrote.
  • Genuine excitement about using AI tools, including Claude, not just to speed up your own work, but to help design how partner data gets surfaced and used by others.
  • A systems-thinking approach: comfortable mapping how data moves across Salesforce, the partner portal, and Crossbeam, and spotting where structure breaks down before it becomes a bigger problem.
  • Strong cross-functional communication skills. You will work closely with Systems, Finance, and Regional Partner leadership without formal authority over any of them, so influence and clarity matter more than title.

Nice to have

  • Experience with partner or channel programs, such as tiering, deal registration, or MDF, is a plus, not a requirement.
  • Comfort untangling attribution across marketing, MDF, and referral sources, connecting campaign and program activity back to pipeline results.
  • Experience handling financially sensitive data, such as commissions or payouts, with a high bar for accuracy.

Perks & Benefits:

  • Fully paid Health & Life insurance for full-time employees and family members
  • Monthly stipend to support your work and productivity
  • 12 days paid Vacation + Flexible Time Away Program
  • 20 weeks fully paid Maternity Leave
  • 12 weeks fully paid Paternity/Adoption Leave
