The Job at a Glance 

As the Executive Assistant to the CEO, you will play a critical role in helping the CEO manage their day-to-day responsibilities, both on-site and while traveling. This position requires flexibility, attention to detail, and a high level of discretion. You will manage a variety of tasks ranging from administrative support to coordinating logistics for travel and events. You will need to be proactive, anticipate the CEO’s needs, and provide a seamless experience for both internal and external stakeholders. 

What You’ll Do 

Working within an organization created at the intersection of health care, retail, and financial technology, no two days will look the same. Typical responsibilities of this role will include: 

  • Calendar Management & Blocking: Organize and maintain the CEO's calendar, ensuring all meetings, events, and personal commitments are scheduled efficiently and appropriately 
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, transportation, and on-the-ground logistics; Travel will account for approximately 50% of the role 
  • Meal and Event Coordination: Coordinate meals, reservations, and client meetings, as well as managing any event logistics related to the CEO’s business commitments (including team events, conferences, and client dinners) 
  • Communication Management: Screen and manage emails and other correspondence on behalf of the CEO, ensuring timely responses and prioritizing communications based on importance and urgency 
  • Errand Running: Handle a variety of errands, including personal and professional tasks, to ensure the CEO's time is optimized and their schedule remains uninterrupted 
  • Document Preparation: Assist in the preparation of presentations, reports, and other documents as needed for meetings and business engagements 
  • Project Support: Provide logistical and administrative support for ongoing projects, tracking deadlines and milestones to keep everything on track 
  • Stakeholder Liaison: Serve as a point of contact between the CEO and various internal and external stakeholders, ensuring smooth communication and timely follow-up 
  • On-Site Presence: Be present with the CEO and available for in-person needs, assisting with anything from supplies to special requests as they arise 
  • Traveling with the CEO: Accompany the CEO on business trips, managing logistics and supporting needs during travel, including working with local teams and ensuring all travel-related tasks are taken care of 

About You 

While every candidate brings a unique resume and prospective, an ideal candidate will include: 

  • Located in Bentonville, Arkansas (or within commuting distance) 
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or in a similar support role, ideally in a fast-paced startup or entrepreneurial environment 
  • Ability to travel around 50% of the time (domestically) often on short notice 
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously 
  • Strong written and verbal communication skills, with the ability to interact confidently with senior executives, clients, and external partners 
  • Highly adaptable and proactive, able to anticipate needs and solve problems before they arise 
  • Ability to work independently and exercise sound judgment, maintaining discretion and confidentiality at all times 
  • Strong proficiency with office software (Microsoft Office, Slack, etc.) and familiarity with travel booking platforms 
  • A "can-do" attitude with a high level of energy, enthusiasm, and flexibility 

Other Requirements

  • Ability to travel (domestically) 50% of the time is required for the role, for various company events and business needs; candidates will collaborate in-person with the CEO, who is based in Bentonville, AR; candidates must reside in or near Bentonville, AR

  • While this role is primarily in-person, Soda Health overall is a distributed workforce. Candidates should be comfortable with, and equipped to work within, a distributed remote team, including having reliable internet access and basic home office equipment. Soda Health will provide a work laptop, and mouse/keyboard upon request
