The Opportunity

The Chief of Staff is a critical operational partner to the CEO, ensuring the CEO’s time, priorities, and communications are managed with precision, discretion, and a high standard of excellence. This is primarily an execution-focused, administrative-forward role designed to multiply the CEO’s effectiveness, managing the day-to-day rhythms of the office of the CEO so that the CEO can focus on leadership, strategy, and relationship-building. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced environment where service to the CEO and the organization is the core mission.

Key Responsibilities

CEO Calendar and Schedule Management

 

  • Own and manage the CEO’s calendar with precision and strategic intent, ensuring time is protected for priorities, balanced across internal and external commitments, and aligned to the CEO’s working style and preferences.
  • Coordinate complex, multi-time-zone scheduling with internal leaders, board members, investors, and external partners, anticipating conflicts and resolving them proactively.
  • Plan and coordinate all CEO travel arrangements, including itineraries, logistics, briefings, and on-the-ground support.

 

Priorities and Task Management

  • Actively manage the CEO’s task list (including inbox) and follow-up items, ensuring commitments are tracked, deadlines are met, and nothing falls through the cracks.
  • Prepare high-quality briefings, agendas, background materials, and read-aheads for all CEO meetings, ensuring the CEO enters every engagement fully prepared.
  • Capture action items from meetings and follow through to ensure accountability across the leadership team.
  • Handle highly sensitive information, including personnel matters, board communications, financial data, and strategic plans, with absolute discretion, exercising sound judgment about what to share, with whom, and when.

 

Communications and Liaison

  • Serve as a trusted point of contact between the CEO and internal and external stakeholders, routing communications thoughtfully and maintaining the CEO’s voice and standards in correspondence.
  • Facilitate the flow of information across departments, ensuring leaders and teams are aligned and informed of CEO priorities and decisions.
  • Partner with the Internal Communications Manager on CEO-attributed communications, maintaining the cadences and voice standards that support the office of the CEO.

 

Meeting and Board Support

  • Support the preparation of materials for Executive Leadership Team meetings, Board sessions, and other presentations, coordinating inputs from across the organization.
  • Manage logistics for Board Meetings, including meeting and dinner planning, communication, and set up.
  • Develop and maintain consistent processes, templates, and routines for recurring leadership touchpoints and reporting cycles.

 

Special Projects and Initiatives

  • Drive time-bound special projects as directed by the CEO, coordinating across teams and tracking progress to completion.
  • Collaborate with the Global Head of Operations on logistics for internal leadership events, where strategic ownership resides with the Operations function.
  • Act as a reliable extension of the CEO’s office, demonstrating absolute discretion, sound judgment, and a commitment to excellence in all tasks regardless of scope.

 

Key Competencies

  • Exceptional organizational skills and attention to detail, with the ability to manage multiple competing priorities under pressure
  • Strong written and verbal communication skills; able to draft correspondence, briefings, and materials that reflect the CEO’s voice
  • Demonstrated discretion and integrity in handling highly sensitive and confidential information
  • Proactive, solutions-oriented mindset; anticipates needs before they become problems
  • Positive energy, professional demeanor, and a service orientation that reflects well on the CEO and the organization
  • Comfortable working across all levels of an organization, from the C-suite to administrative staff

Education and Experience

  • 5–8 years of experience in a Chief of Staff or similar role supporting C-suite leaders, ideally in a professional or financial services environment
  • Proven ability to manage complex calendars, international travel, and multi-stakeholder logistics
  • Experience preparing executive-level briefings, board materials, and correspondence
  • Strong proficiency in Microsoft 365 and productivity tools; familiarity with project management platforms a plus
  • Bachelor’s degree preferred
