The Senior Executive Assistant provides high-level administrative and operational support to the President and CEO. This role manages complex priorities, prepares the CEO for key commitments, coordinates communications and logistics, and serves as a primary point of contact for internal and external stakeholders. The position also supports the Board of Directors and senior leadership, coordinates executive outreach, and manages special projects. The preferred candidate will bring extensive experience supporting C-suite executives, sound judgment, discretion, strong communication skills, and the ability to anticipate needs in a fast-paced, technical, and publicly traded company environment. 

Job Duties:

  • Manage the President and CEO’s complex calendar, appointments, meeting priorities, travel arrangements, expense reports, correspondence, supplies, and related administrative logistics. 
  • Monitor and support high-volume executive communications by organizing information, drafting correspondence, identifying time-sensitive matters, and coordinating follow-up while maintaining confidentiality. 
  • Prepare the CEO for upcoming commitments by developing agendas and briefing materials, confirming logistics, gathering relevant information, and coordinating with internal and external stakeholders. 
  • Prioritize competing requests, resolve scheduling conflicts, track commitments, and follow through on time-sensitive actions and projects through completion. 
  • Partner with senior leaders and the Board of Directors to coordinate meetings, prepare and distribute materials, manage logistics, and support accurate and timely follow-up. 
  • Serve as a primary point of contact for matters directed to the Office of the CEO, including welcoming visitors and responding to or routing questions and meeting requests. 
  • Identify and implement practical processes, procedures, and technology improvements that increase executive efficiency, productivity, and communication. 
  • Manage special projects and executive initiatives from planning through completion, coordinating stakeholders, schedules, materials, and deliverables as needed. 
  • Build effective working relationships across all levels of the organization and with external partners while representing the Office of the CEO professionally and discreetly. 

Qualifications/ Requirements:

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • 6+ years of related experience providing high-level administrative support, including experience supporting C-suite executives.
  • Advanced proficiency with Microsoft 365, including Teams, Outlook, Word, Excel, PowerPoint, OneNote, and OneDrive, and proficiency with Adobe Acrobat Pro.
  • Demonstrated ability to manage complex calendars, executive communications, travel, expenses, meeting preparation, and multiple competing priorities.
  • Strong written and verbal communication skills, including the ability to draft clear, concise, and professional executive correspondence and materials.
  • Demonstrated judgment, discretion, and ability to maintain confidentiality when handling sensitive business and personnel matters.
  • Strong organizational skills, attention to detail, resourcefulness, and ability to work independently and proactively through changing priorities.
  • Ability to work effectively and respectfully with colleagues, board members, external partners, and individuals from varied backgrounds and cultures.

Preferred Qualifications

  • Experience supporting executives in a technical, manufacturing, or publicly traded company.
  • Experience supporting a Board of Directors or coordinating board and executive leadership meetings.
  • Experience improving administrative processes or implementing technology solutions that increase executive effectiveness.
  • Advanced PowerPoint skills and experience preparing executive-level presentations and briefing materials.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to communicate and exchange information with employees, board members, visitors, vendors, and business partners.
  • Ability to move throughout office areas as needed.

Salary Range: $90,000 - $115,000/year
