Executive Associate
We are seeking a proactive, highly organized, and detail-oriented Executive Associate to join the Sollis Health team. In this role, you will work closely with the executive leadership team, support high-level projects, manage office operations, and contribute to strategic initiatives that drive the company’s success. You will serve as a key team member in ensuring effective communication, coordination, and execution within the organization, balancing traditional executive support with office management responsibilities. Reports to SVP of People.
Hybrid position must be NYC HQ 2-3 days/week, pending CEO schedule
Responsibilities:
Executive Support
- Work closely with the CEO to ensure the efficient functioning of the CEO's office by managing priorities, calendar, and activities.
- Act as a gatekeeper to strategically manage the CEO's time, ensuring alignment with the company's priorities, goals, and objectives.
- Provide direct administrative support to the broader executive leadership team, including calendar management, meeting coordination, travel arrangements, reporting and preparing agendas.
- Draft internal and external communications, including talking points, presentations, and stakeholder updates.
- Manage and prioritize incoming communications, including mail, emails, phone calls, and requests, ensuring timely responses and appropriate follow-up.
- Coordinate with internal teams and external stakeholders to arrange meetings (including meetings of our Board of Directors) and ensure goals are met.
- Prepare and update presentations, including quarterly Town Halls, investor decks, weekly reports, and other key communications.
NYC HQ Office Mangement
- Serve as the point person for all office-related needs, including building maintenance, mailing, shipping, supplies, and equipment.
- Oversee office stock levels, including office supplies, kitchen supplies, and snacks, ensuring the office is fully equipped and organized.
- Maintain an efficient and productive office environment, including managing procurement and the layout of office equipment.
- Provide general support to employees and visitors to ensure a positive experience within the HQ.
- Performs related duties as requested
Experience
We believe extraordinary people come from a variety of backgrounds, but ideally, we would expect that you have:
- Bachelor’s degree in business administration, management, or a related field (or equivalent work experience).
- 2+ years of experience in executive support, operations, project management, or similar roles.
- Strong organizational and time-management skills, with the ability to juggle multiple priorities and meet deadlines.
- Excellent written and verbal communication skills, with the ability to interact effectively with all levels of the organization.
- Exceptional attention to detail and the ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and familiarity with project management tools (e.g., Asana).
Skills:
- Previous experience in a fast-paced startup environment or in a leadership support role.
- Experience managing cross-functional projects or teams.
- Ability to work effectively in a dynamic and evolving environment, while maintaining a strong sense of initiative and accountability.
Compensation
Range: $80,000-$120,000 per year
This is the range of pay for New York candidates only. Sollis is a multi-state employer and this rate/range may not reflect the pay for positions that are performed solely in localities outside of New York. Furthermore, actual pay is dependent on several factors that may include but are not limited to years of experience within the job, years of experience within the required industry, location, education, etc.
