Lead Front Desk Coordinator

We’re looking for a passionate, hospitality-driven Lead Front Desk Coordinator to be the warm, welcoming face of Sollis Health. As the first point of contact for our members, you’ll play a pivotal role in creating a memorable first impression, ensuring every interaction reflects our commitment to care, efficiency, and excellence.
You’ll not only guide patients through the intake and checkout process, you’ll also lead by example, supporting and mentoring our front desk team to uphold Sollis’ high standards of service and professionalism.
Responsibilities:
- Lead the day-to-day flow of the front desk, working closely with the Operations leadership team to ensure a smooth and efficient member experience.
- Train, coach, and guide front desk team members, monitoring TalkDesk activity, posting important updates in Teams chats, and fostering a culture of collaboration and accountability.
- Serve as an escalation point for on-site teams as needed, cover shifts or help to find coverage as requested, and answer questions from staff during weekend on-call shifts.
- Greet every member with warmth and professionalism, ensuring they feel cared for from check-in to check-out.
- Handle scheduling, intake, registration updates, document scanning, and daily reconciliation through our EMR system.
- Schedule follow-up visits for medical evaluations, vaccinations, and house calls as appropriate.
- Address member inquiries promptly and professionally, escalating when necessary to ensure complete satisfaction.
- Answer the Sollis medical hotline as needed, directing members to the right team for medical care, billing, or other requests, always ensuring timely follow-up in Navigator.
- Keep the clinic pristine and inviting, ensuring all spaces meet Sollis’ high standards of presentation and cleanliness.
- Manage mail distribution, sign for packages, and handle outgoing correspondence as needed.
- Check supplies regularly, restock where necessary, and partner with the Inventory Coordinator to order replacements.
- Uphold Sollis Health’s service standards at every touchpoint—creating an environment that feels both caring and luxurious.
- Perform additional related responsibilities as assigned.
Experience
We believe extraordinary people come from a variety of backgrounds, but ideally, we would expect that you have:
- Associates degree or greater required.
- 3-4 years of previous hospitality and/or medical office experience strongly preferred.
- Excellent administrative background, especially in managing customers on the phone.
- Ability to efficiently execute and improve established office routines and policies.

Range: $28-$30 per hour
